Inbound Call Assistant

Duties and Responsibilities:
- Provide administrative support to the executive team and confidential secretarial support to the CEO
- Assist with minute taking and agenda preparation as well as participate in a range of organisational committees and meetings
- Assist with compliance documentation including company registers, minutes, and annual reporting
- Schedule and organise board and committee meetings
- Prepare meeting agendas, record minute, and follow up on action items
- Process invoices and payments
- Reconcile bank statements and credit card statements
- Assist with the preparation of budgets and financial forecasts
- Communicate with suppliers and vendors regarding invoices and payments
- Coordinating travel arrangements for senior staff, as necessary.
- Maintaining a comprehensive and up-to-date database of contacts, including clients, suppliers, and stakeholders, ensuring that all information is accurate and accessible.
- Ensuring company files are properly organised, and that administrative systems and processes are running smoothly.
Skills and Qualifications:
- Qualifications associated with office clerical, management and administrative duties
- Great technical skills, with excellent computer literacy and a good command of the MS Office suite
- Excellent organisational and administrative skills
- Attention to detail and accuracy
- Strong communication and interpersonal skills
- Knowledge of bookkeeping practices, including Xero or other similar software
- Familiarity with regulatory requirements for company secretary support
- Ability to work independently, prioritise tasks, and meet deadlines
- Proactive approach to problem-solving
**Salary**: $23.00-$29.00 per hour
