Administrative Full-time New Position

Reporting to the Executive Director, Total Rewards, and working closely with the Total Rewards Consultants, Human Resources Advisors, and Recruitment Team, the Position Management Specialist will be responsible for ensuring that all new and existing positions at the College have followed the proper approval process, have current job descriptions, signed by current incumbents, and are accurately captured in tracking databases. The incumbent will maintain a database of positions and be an active participant in the Request for Position and approval processes.

**Responsibilities**:

- Maintenance of Pay Equity Database
- Offer Letters for new hires, transfers, secondments and maintenance of up-to-date templates
- Maintains Database of all Support Staff and Admin positions (enter new ratings, attach positions to people, ensure signed job descriptions are on file and finalized for postings
- Works with Recruitment and Total Rewards Consultant to ensure up-to-date job descriptions are used for postings
- Maintains and issues position identification numbers
- Main point of contact for all request for position forms and coordinator for all position review committee meetings
- Receives all request for position forms, numbers all received forms and adds them to the shared recruitment database, and uploads the numbered forms to a folder shared by HR and Finance
- First point of contact for Finance regarding any request or position questions
- Responds accordingly to all inquiries from Finance, HRA’s, Recruitment Coordinator, HRIS Coordinator, Committee members, Senior Administrators or Managers
- Coordinates meetings for the committee to review all new and replacement positions
- Creates all necessary position lists and supporting documentation
- Communicates all position approvals and follows up with any questions the committee has regarding specific position requests
- Works closely with the Recruitment and Total Rewards Teams regarding the status of positions and the management and requirements of the recruitment database

Qualifications:

- Three-year Diploma/Degree in Business, Communications, Human Resources, Labour Relations, or a related field
- Three years of practical work-related experience
- Knowledge of unionized workplaces and implications of collective agreements
- CHRP/CHRL designation is considered an asset
- Excellent knowledge of Windows, MS Office products (Word, Excel, PowerPoint, Adobe 11, including Accessibility features in each program)
- Exceptional interpersonal, communication, and networking skills
- Ability to build strong relationships and work collaboratively; Ability to deal diplomatically with internal and external stakeholders in confidential and sensitive situations
- Well-developed analytical, creative problem solving, and planning skills
- Strong organizational skills, attention to detail, and the ability to establish priorities and flexibility in response to changing circumstances
