**About you and the role**:
TAF’s Retrofit Accelerator puts ideas into action. We provide expert services to deliver deep energy retrofits in the multi-family building sector in the GTHA. We collaborate with building owners, utilities, governments, residents and other stakeholders to maximize the health, social, environmental, and economic outcomes of retrofits.

As Coordinator, you’ll provide TAF’s Retrofit Accelerator projects and initiatives with direct implementation support. Reporting to the Project Manager, Retrofit Accelerator, you’ll be involved with all phases of the project life cycle, overseeing workflows and keeping the team on track to help ensure success and continuous improvement.

**What you’ll do**:
Project Coordination
- Handle daily project administration, including documenting and tracking tasks, resources, and deliverables using project management software.
- Monitor project progress and prepare written and verbal status updates as needed for internal and external stakeholders.
- Work with the Project Manager to develop key documents like budgets, project schedules, scope of works, and project plans.
- Coordinate payment of invoices with TAF’s finance team, track project expenses against planned budgets, and keep the team informed of progress and deviations.
- Provide project coordination support for research and associated reports and case studies, working in collaboration with other teams across TAF.

Process Improvement
- Work with the Project Manager to develop best practices and standards for project management.
- Facilitate the development of new project management tools and documentation processes to ensure project success and consistency.

Administrative and Meeting Support
- Schedule and coordinate virtual, in person, and hybrid meetings, coordinating calendars, booking meeting spaces, and preparing and distributing agendas.
- Attend meetings with TAF staff and external stakeholders, take meeting minutes and track action items.
- Support management of data relevant to retrofit-related projects, ensuring that documents are filed following protocols for easy retrieval by other team members.

Wider TAF Contribution
- Facilitate knowledge transfer by sharing learnings with internal team to maximize outcomes.
- Represent TAF publicly in a manner consistent with TAF’s professional standards.
- Participate actively as a TAF team member at staff meetings, retreats and through ad-hoc staff working groups.

**The qualifications and skills we’re looking for**:

- At least one year of experience in an administrative or project coordination role.
- Post-secondary degree or diploma in a relevant field (e.g., project management, business administration) or equivalent work experience.
- Knowledge and/or demonstrated interest in understanding climate change and the energy and buildings sector.
- Demonstrated ability to express ideas clearly and effectively in speech or writing to a variety of audiences.
- Exceptional time management capabilities, with the ability to coordinate multiple initiatives in parallel and organize priorities based on deadlines.
- Great problem-solving skills, with the ability to quickly come up with solutions and strategies.
