Document Control Specialist

**JOB PURPOSE**
Responsible for the document control process. This role requires the submittal of procedures, drawings and test plans to the customer for review and approval, controlling revision levels of documents issued to the shop floor for manufacturing and the maintenance of BWXT form revisions.
**ACCOUNTABILITIES**
- Review documents/transmittals for discrepancies upon receipt.
- Classify incoming documents to determine appropriate internal review authority and pertinent document information is accurately logged in an Access database.
- Update database when documents are returned from internal review and documents are formally issued to customers/vendors via Letter of Transmittals.
- Issue letters of transmittal to customers/vendors and ensure documents submitted reflect the letter’s content.
- Issue letters of transmittal both internal/external when documents have been revised in the database
- Prepare/maintain customer/vendor files in a structured format for ease of retrieval by project team during contract life and keep the files readily available and accurate for internal/external auditors.
- Retrieve files stored offsite as required and then ensure all contents are scanned (PDF), authenticated and OCR.
- Input and track the flow of BWXT/vendor documents submitted in VenDM for review and approval related to various OPG projects.
- Process new orders and change orders.
- Submit documents such as procedures and drawings to customers for review and approval.
- Communicate with the customer’s Document Control to coordination documentation approval.
- Process and track all Supplier documents for review and approval.
- Ensure that controlled copies of the latest approved documents and drawings are given to the appropriate personnel and recall previous versions of all documents.
- Input document data into the Software Schedule and ensure that all information is accurate and up to date.
**KNOWLEDGE AND EXPERIENCE**
- Experience in records management.
- Clear understanding of the sections responsibilities, procedures and methods of operation.
- Post-secondary education in Administration, Business or related program.
- Minimum 3 years of experience working in document control in a manufacturing environment.
- Experience working in the aerospace, defense or nuclear industry an asset
- Advanced Microsoft Word, Excel and Access abilities
- Excellent customer service skills
- Strong attention to detail and accuracy
- Ability to communicate positively and effectively verbally and in writing
- Strong problem solving skills
- Ability to prioritize and execute tasks effectively, prioritize and meet set deadlines
- Able to work in a fast paced environment
