The Ministry of Indigenous Relations works with Indigenous communities, the federal government, industry and other stakeholders to support strong, vibrant Indigenous communities and people who fully participate in a prosperous, competitive and diverse Alberta.

The ministry is also responsible for:

- Promoting social and economic opportunities for Indigenous Peoples
- Co-leading Indigenous training for all Alberta public servants
- Working with other ministries to develop opportunities for Indigenous Peoples to influence land and resource management decisions.

**Role Responsibilities**:
As the Executive Assistant to the Executive Director of Metis Relations, you are a central figure in driving organizational efficiency and supporting high-level decision-makers. Your role encompasses the following key responsibilities:
**1. **Task Prioritization**:

- Prioritize tasks, assignments, and activities through discussions with the Executive Director and Director, aligning them with organizational goals.

**2.** **Coordination of ARTS Functions**:

- Coordinate ARTS functions, ensuring timely assignment of action requests and tracking responses against established timelines.

**3. **Calendar Management**:

- Schedule and maintain the Executive Director's calendar based on a deep understanding of priorities and timelines.

**4. **Correspondence Handling**:

- Review, sort, and prioritize incoming correspondence, bringing urgent and important matters to the attention of the Executive Director and Directors/Manager.

**5. **Administrative Support and Process Improvement**:

- Provide input during project development, track Action Requests and Information Requests, recommend improvements to administrative processes, and offer guidance on policies and procedures within the Branch and the Department.

**6. **Grant Management**:

- Provide back up support to branch on grant administrative activities, such as file administration, data entry, and payments. This position will also assist grant administrative activities during times of increased volume.

In this critical role, you contribute significantly to the effective functioning of the Branch, ensuring seamless communication, document management, and administrative support.

**Qualifications**:
**Minimum Recruitment Standard**:

- High school diploma and three years of related experience.

**Experience required**:

- **Executive Support**: Proven experience providing executive assistance, managing calendars, and handling correspondence.
- **Organizational Proficiency**: Strong organizational skills, adept at prioritizing tasks, and maintaining efficient document management.
- **Effective Communication**: Excellent communication and interpersonal skills for transmitting messages, providing guidance, and facilitating smooth interactions.
- **Problem-Solving**: Ability to identify and address issues, make informed decisions, and handle confidential information with discretion.
- **Project Coordination and Process Improvement**: Background in coordinating projects, streamlining processes, and contributing to the improvement of administrative workflows.
- **Grant Management**: Experience in grant procedures and grant file administration, such as setting up physical files, maintaining client and program information, and making payments.

**Equivalency**:

- Directly related experience or education may be considered on the basis of: one year of experience for one year of education or one year of education for one year of experience.
