Role Responsibilities

The Branch Administrator organizes and oversees the Prevention, Early Intervention and Youth Branch (PEIY) branch’s business functions. This position provides senior support services to the Executive Director, Directors and program staff of the PEIY.

Responsibilities include:

Providing business expertise, advice and analysis in regards to human resources and a wide range of financial related areas of the Branch's work.  Developing and preparing budgets and forecasts, tracking and monitoring expenditures, conducting basic research and generating reports, working in CMAS and 1Gx with contracts and grants, advising and providing input on resource pressure documents, preparing documents for Treasury Board and for government committees such as Public Accounts and Committee of Supply while providing recommendations and program support to the Executive Director and key staff are essential roles of the position.  Developing and maintaining processes for on-boarding staff, reviewing and revising standard operating procedures, protocols, work systems, administrative tools, templates, forms, reports, and other performance mechanisms. Coordinating and reporting on all Branch projects and activities as per business planning. 

This position will also provide financial advice and support to the division, including the ADMO. 

Working independently and as part of a team to ensure seamless services and creating a good team environment are an important part of the position. This position is often the first point of contact for the branch to both internal and external clients and also provides support and direction to temporary or contracted administrative staff.

As the Branch Administrator you are responsible for:

Providing high-level assistance to the Executive Director, Directors, and ADMO on business functions. Coordinating, distributing, and assigning reports and documents requested of the ministry.  Supervising and Communicating with Executive Director and all staff to ensure seamless services and creating a good team environment. 

The Branch Administrator is the most senior administrative position in a branch who has acquired significant specialized program knowledge through many years of experience. Incumbents apply both depth and breadth of knowledge related to administrative and financial policy. The Branch Admin ensures accurate and timely payment for services, reimbursement or contracted financial support.

The Branch Administrator must continuously review and refine administrative processes and systems to increase efficiencies in the following key areas: Interpretation and guidance around Financial Policy; accurate and timely payments for a variety of business partners; Interpret Regional and Ministry Administrative and HR policy; personnel administration; management of branch functions such as purchasing, records management, FOIP requests, service contracts, parking, telecommunications, security, accommodations/facility and equipment management, IT Support and OH&S; forecast, analyze and monitor the budget and manpower allocation; identify program delivery budget variances, and recommend monthly program budget allocations; business continuity planning and emergency management.

Role Continued

This position is part of the executive director office and handles sensitive and confidential issues. The incumbent must be able to work independently and be prepared to make decisions within the scope of the position. The Branch Administrator demonstrates creativity and flexibility in problem solving and negotiation skills in order to create, enhance and maintain a high level of client services and to promote the health and safety of staff.



The Branch Administrator may be called upon to work outside of regular business hours for urgent requests.
