The University of Alberta Students’ Union (UASU) is the official student-run organization for undergraduates at the University of Alberta. We aim to improve the undergraduate student experience through the services, events and spaces that we provide. We also advocate on behalf of students within the university community, and to all levels of government.

**Overview**

As the Assistant Manager of Student Services, you will play a critical role in supporting the efficient and effective delivery of services aimed at enhancing the student experience. Working closely with the Senior Manager of Student Services, you will assist in overseeing various aspects of student support and engagement, ensuring that services are accessible, responsive, and tailored to meet the diverse needs of our student population.

**Core Responsibilities**
- Operational Support:

- Coordinate the operation of specific student support programs, including the bike library, the campus garden, the green market and the reusable dish program.
- Assist in the day-to-day management of all student service operations, including event planning, training, volunteer management, scheduling, and resource allocation.
- Operationalizing strategic guidance from the Senior Manager, Student Services, the UASU Strategic Plan, and/or the Executive Committee related to the Manager’s area of responsibility.
- Ensure that administrative processes and procedures are followed to maintain smooth operations and deliver high-quality services.
- Staff Training and Supervision:

- Assist with the recruitment of new staff and volunteers.
- Coordinate the onboarding process for new staff and volunteers.
- Assist in training and supervising student workers, professional staff and volunteers involved in delivering student services.
- Provide guidance, mentorship, and support to staff members and volunteers to ensure professional development and excellence in service delivery.
- Data Management and Analysis:

- Assist program leads in the maintenance of accurate records of student interactions, inquiries, and service requests.
- Compile and analyze data related to student services to identify trends, assess effectiveness, and inform decision-making.
- Continuous Improvement:

- Implement assessment programs in order to identify opportunities for process improvement and service enhancements based on feedback from students, staff, clients, and interest-holders.
- Work collaboratively with the Senior Manager of Student Services to implement changes and initiatives aimed at improving the student experience.
- Financial Reporting:

- Ensure the timely submission of financial documents and monitor the alignment of the financial spending of the Student Services programs with budgets and organizational policies.
- Participating in the development of budgets and providing oversight of spending to ensure compliance.
- Other Responsibilities:

- Provide backup support to other staff in the Student Services programs.
- Act as a resource for other members of the organization on issues related to student support, engagement and collaborate on cross-departmental initiatives.
- Support the Senior Manager Student Services in projects as they arise.

**Qualifications**
- Hold an undergraduate degree in a related field, such as social work, social sciences, education, business or psychology. Equivalent combinations of education and experience will be considered.
- Previous experience in student services, advising, or a related role within a higher education setting.
- Strong interpersonal and communication skills, with the ability to build rapport and establish trust with students and colleagues.
- Excellent organizational and time management abilities, with a keen attention to detail.
- Proficiency in GSuite; experience with volunteer management systems is an asset.
- Commitment to fostering a supportive and inclusive environment for all students.
- Experience supervising staff is an asset.

**Terms of Employment**:
37.5 hours/week

Hours of operations: 9:00AM - 5:00PM, Monday - Friday. Some weekend and evening work might be required.

Location: This work is primarily in person on the University of Alberta campus. Hybrid work may be accommodated; however, not during the first few weeks of each semester.
