Reporting to the Patient Care Manager, the Administrative Assistant works in a fast-paced environment to ensure efficient and effective functioning as part of the Acute Internal Medicine (AIM) Clinic team.The Administrative Assistant will provide a high level of co-ordination and administrative support to the AIM Clinic.Additionally this role requires daily communication both internally and externally to St. Joseph¿s Hospital.

ACTIVITIES & DUTIES
- Assists in collecting and reporting statistical information;- Performs other clerical duties such as filing: photocopying, faxing, and mailings;- Assists the in coordinating and compiling quarterly performance and annual reports for the portfolio;
- Assists with the day to day clinic operation which may include reception, booking of patients, managing referrals, handling patient inquiries, stocking and ordering of supplies, and other duties as required, to ensure efficient and timely opening and closure of clinics
- Maintains an organized clinic/office by daily monitoring of office activities, coordinating workflow and setting priorities.
- Monitors patient access issues and collaborates with physicians, manager, and team to improve patient flow and experience
- Provide administrative leadership in quality improvement initiatives
- Maintains open communication with all physicians and team to quickly address issues and suggestions for improvement
- Uses excellent decision making and problem solving skills to prioritize and identify relevant support for the resolution of issues
- Liaise and collaborate with various hospital departments to exchange information and resolve issues
- Prepares and maintains data analysis, develops graphs, charts and presentations of critical indicators/research as required
- Maintains various filing systems.- Performs general secretarial duties including obtaining appropriate answering,- screening and transferring phone calls- , taking and relaying messages, redirecting inquiries, opening and sorting mail, filing, photocopying, ordering office supplies, maintaining office equipment.RESPONSIBILITIES

- Demonstrated commitment to the Mission and Values of Unity Health Toronto
- Demonstrated knowledge of medical and scientific terminology
- A minimum 3-5 years current hospital experience in a fast paced environment
- Excellent analytical, interpersonal and communication skills
- Proficiency in the use of computers with proven experience in data manipulation, interpretation and extraction of information
- Ability to prioritize and identify relevant support for the resolution issues in the day to day operations
- Industrious, organized, methodical worker with ability to use initiative, good judgment and pay attention to detail
- Strong customer service orientation with excellent interpersonal and communication skills to liaise with all levels of hospital staff as well as individuals from various community needs
- Ability to work well both independently and as part of a team
- Excellent attendance record
