**Admin and Operations Assistant**

As an Admin and Operations Assistant, you will provide comprehensive support to the executive team, managing calendars, coordinating communication, and assisting HR, Accounting and Operations with various tasks. This role is essential for organizing internal and external events while maintaining high levels of discretion and professionalism.
- Your key responsibilities would include: _
- Serve as the primary point of contact for internal and external clients.
- Organize and schedule meetings, providing detailed minutes and ensuring timely follow-up on action items.
- Assist with calendar management for executives, including scheduling, rescheduling appointments, and providing daily briefings.
- Support HR, Accounting, and the Executive team with general administrative tasks, ensuring smooth workflow across departments.
- Organize and coordinate external events, such as company dinners and social gatherings.
- Monitor inboxes to help manage meeting proposals, and action items, and delegate responses to team members as needed.
- Conduct research and prepare reports based on executive needs.
- Assist with travel arrangements and accommodations.
- Maintain a high degree of discretion and confidentiality.
- Assist with weekly timesheet inputs for executives and the completion of company monthly expense reports.
- Provide general administrative support, ensuring effective communication and coordination across teams.
- High School diploma; additional qualification as an administrative assistant or secretary is a plus.
- Outstanding attention to detail, interpersonal skills, organizational skills with the ability to multitask, and strong time management skills.
- Excellent verbal and written communication skills.
- A high degree of professional integrity, sound judgment, discretion, and confidentiality are essential.
- Ability to learn quickly, adapt to new challenges, and handle sensitive information with discretion.
- Requires excellent judgment and tact in handling highly sensitive and confidential information on a routine basis.
- Highly proficient in Excel, Word, PowerPoint, and Outlook.
- Ability to thrive in a collaborative and fast-paced environment with strong prioritization skills.
- Willingness to learn, grow, and develop alongside the team, taking on new responsibilities as needed.
