This position is based in the Richmond, BC Office with a schedule of Monday to Friday, 8:00am to 4:30pm.

What You Will Be Working On- Providing administrative support to the Office Manager with troubleshooting and day-to-day optimal functioning of the department;- Reception relief for breaks, vacation and sick days- Managing electronic and hard copy documents, as well as filing and tracking registers;- Assisting with building facilities management, including; organizing bins, office moves, ordering and managing kitchen and stationary supplies, security and parking allocation databases;- Coordinating meeting logistics, including; booking rooms, room setup, ordering catering, training logistics, etc.;- Maintaining confidential documentation, (e.g. various reports, letters, memos, meeting agendas/minutes, and business cards);- Assisting with planning and logístical support for district office events;- Ensuring machinery and equipment are working correctly, conduct printer maintenance calls,, refill paper and toner;- Assisting with common kitchen facilitation (load/unload the dishwasher, coffee machine maintenance, light cleaning duties, etc.);- Various other administrative duties including providing support to all departments as needed.

What We Are Looking For- Minimum of 3-5 years of directly related experience.- Advanced proficiency with Microsoft Office Suite, including but not limited to Excel, Word, Outlook and PowerPoint. Ability to learn and adapt to changing systems, technology and procedures.- Flexibility with personal schedule (i.e. meetings occurring outside of business hours due to different time zones).- Administrative experience in the following: reception, travel arrangements, organizing events, timesheet processing, incoming and outgoing courier deliveries, along with managing a large volume of administration management;- Advanced computer skills with Microsoft office suite, PowerPoint, Excel, and Word as well as knowledgeable with the internet;- Results-oriented individual with a strong aptitude for organization and office administration. Committed to the highest levels of professional excellence by virtue of hands-on administrative and operational experience;- Proven ability to demonstrate high level of confidentiality, including tact and discretion in preparing, disclosing and handling information of a sensitive nature;-
- Strong time management skills, ability to work with tight deadlines, confidentiality, and professionalism are key requirements. Ability to work independently and support a team in a collaborative environment;- Proven ability to handle crisis situations with delicacy by employing perception and situational discernment;- Ability to exercise sound judgement, superior organizational and multitasking skills, resourceful, flexible, prioritization skills / adaptable to changing priorities;- Detail-oriented, self-motivated, resourceful, and strong interpersonal skills;-
- Ability to work in a fast-paced environment.
- As per Section 2 of the BC Pay Transparency Act, this position is eligible for a compensation range of $45,000-60,000._
