The role of the Wedding & Event Planner is vital to our presence in the hospitality& wedding industry and to our clients. **Job Functions and Tasks**

**Wedding and Special Events Coordinator**:
Coordinate all client meetings for contracts, 2nd deposits, invitations, final consultation, numbers, and final payment.

Effectively manage peak wedding season

Coordinate busy Christmas schedule with multiple events both in-house & offsite

Create and update DJ schedules for each season

Plan on and offsite corporate & social events - BBQ, Social catering, etc.

Order, examine & proof ‘invitations’ and ‘save the date magnets’

Coordinate cake orders - ensuring all details are understood

Organize various rentals as required - tenting, BBQ’s, etc.

Create Banquet Orders for Banquet Manager and Staff and apprise all staff of any changes

Understand food allergies / cross contamination, etc. and relay to Kitchen & Banquet Manager

Up-sell and coordinate decor with client & decorator

Schedule rehearsals & review indoor rehearsals plan when required

Request and review clients floor plans, potential food allergies and dietary restrictions, DJ setup, etc.

Create event function notes from final consultation and send to client for review and approval

**Customer Service**:
Conduct site tours and explain layouts and logistics for ceremonies and receptions

Follow up on and process payments as per sales contract

Organize, manage & liaise with clients at annual food tastings / open house events

**Office Management**:
Providing office administration support for Owner/Manager

Maintain current staff list and vendor list

Ability to use event planning software an asset - quotes, contracts, payments, etc.

Review other administrative or marketing materials as requested

**Qualifications**:
Post Secondary education with a preference for a designation in Event Planning/Hospitality

Minimum 2 years experience in event & wedding planning required

Highly fluent in English reading, writing and speaking

Strong computer skills in Word, Excel, Corel and Outlook

Understanding of PowerPoint & LED Art an asset

Must have valid driver’s license with access to a vehicle

Excellent interpersonal, communication and customer service skills

Strong organizational skills to multitask & work under pressure in a fast paced environment

Ability to work with mínimal supervision

Professional demeanour with strong ability to engage with the public and manage difficult customers

Ability to remain calm and troubleshoot problem situations with mínimal notice

Team oriented and versatile with ability to do hands on work if required

Available to work occasional weekends and evenings for meetings and events as required

**Experience**:

- Wedding Coordination / Event Coordination/Catering: 2 years (required)

- English (required)
