**Position Overview**

**RECEPTIONIST FULL TIME**

Twin Bridges Nurse Practitioner - Led Clinic (NPLC) is a dynamic community-based interdisciplinary primary health care clinic providing comprehensive primary health care services to individuals and families residing in the Sarnia-Lambton area.

As the first point of contact for patients and visitors, the receptionist role is of great importance. The receptionist will support the primary care providers at Twin Bridges NPLC in the provision of primary health care, health promotion and disease prevention through reliable, timely, professional and effective clerical support. The receptionist’s primary role is to provide direct and indirect contact with the patients registered with the NPLC and to liaise with and provide clerical support to the interdisciplinary team.

**Roles and Responsibilities**
- Greet and welcome all patients and visitors to the clinic
- Respond to inquiries in person and on the phone in a friendly and helpful manner, providing detailed and accurate knowledge of Twin Bridges NPLC’s programs and services
- Manage the daily appointment schedule for all team members
- Check patients in as they arrive and inform the appropriate provider
- Update patient contact information at every visit
- Book patient appointments within the NPLC as well as external referrals
- Manage incoming and outgoing faxes, referrals and prescriptions
- Scan patient reports and other documents into the EMR
- Receive, open and distribute incoming correspondence and parcels
- Monitor office supplies inventory and utilize standard process for re-ordering as needed
- Protect staff, clients and the general public from potential infectious disease by ensuring potentially infectious patients adhere to clinic guidelines such as donning masks and waiting in the designated waiting area
- Assist with the workload of colleagues during vacation or other absences
- Input and maintain statistical data in required spreadsheets i.e. maintain referrals on waitlist
- Ensure waiting room is kept tidy and free of safety hazards
- Manage stocking and supply in exam rooms daily
- Create documents as required
- Notify the Executive Director or Admin Lead of any client or visitor concerns

**Organizational**
- Know established work and administrative responsibilities
- Contribute to the efficient functioning of the clinic and the attainment of strategic goals
- Maintain current knowledge of policies, read minutes of meetings and keep up to date with organizational events
- Participate in team meetings, in-services and organizational planning and development as required
- Maintain and develop competence through ongoing education
- Participate in self-directed learning
- Support the Mission, Vision and Values of Twin Bridges NPLC

**Qualifications and Skills**
- At least 5 years of work experience in an administrative position, preferably in a health care organization
- A diploma or certificate in Office/Business Administration or Medical Secretary program
- Excellent written, verbal and inter-personal communication skills
- Experience working with marginalized persons
- Experience with crisis de-escalation
- Excellent organizational skills
- Demonstrated ability to work independently and in a team environment
- Ability to deal with multiple competing demands
- Ability to prioritize work
- High degree of accuracy and attention to detail
- Excellent information technology skills including a working knowledge of Windows, Microsoft OfficePrograms (Excel, Word, Outlook and PowerPoint) and Internet searches
- Ability to maintain information in confidence and respect sensitive information
- Experience with electronic medical records (EMR) systems

**Requirements**:

- Ability to travel within the community
- Ability to work flexible work hours including evenings and weekends
- Adherence to Occupational Health and Safety policies and procedures as per applicable legislation
- Adherence to all policies and procedures of Twin Bridges NPLC

**Physical Demands**
- Majority of time will be spent in direct reception duties in the clinic. The position requires mínimal physical effort and the workday comprises roughly equal amounts of standing, sitting and walking, with frequent position changes. Lifting of up to 20 kg to move medical supplies and arrange furniture for programs is required. Travel within the community may be requested.

**Confidentiality of Information**
- Ensures adherence to the Personal Health Information Protection Act (PHIPA)
- Exercises reasonable care with caution in protecting confidential and sensitive information related to clients and personnel
- Police check required for hire
- The above duties are representative but are not to be considered all-inclusive.

**Compensation**
- The position is full-time (37.5 hours/week) with eligibility for benefits and pension (HOOPP) in addition to the wage.
