Administrative Coordinator, Catering Operations

Job Summary:
Reporting to the Manager of Catering Operations, the Administrative Coordinator, Catering Operations contributes to the efficient day-to-day operations of the department.

Duties & Responsibilities:

- Complete correspondence for the Catering Operations department
- Supports Dash 8 and E195 operations
- Support YTZ, YYZ and future hubs
- External correspondence with catering kitchens and suppliers
- Payroll batching for YTZ Catering Operations (including tracking attendance and tardiness)
- Coupa onboarding and maintenance for new vendors
- Maintaining Nutritional information for existing and future products.
- Prepare, execute and reconcile Coupa requisitions for Catering Last Mile and Meal providers
- OTP Reports
- Resolve AP disputes
- Assist in Buy on Board
- Assist in preparing PACL and PAI budgets for Catering Operations.
- Support Manager of Catering Operations on Monthly Budget Reporting and month end reconciliation
- Staff Engagement
- New Hire Administrative Paperwork
- Actively participate in Porter’s Safety Management System (SMS) including reporting hazards and incidents encountered in daily operations; understand, comply and promote the Company Safety Policy
- Other duties as assigned

Qualifications:

- Knowledge and proficiency of Microsoft Office products as well as Google Workspace
- Accounting proficient.
- Positive track record of working relationships with others, both internally
and externally. Works cooperatively and effectively with others
- Excellent oral and written communication skills in the English language
- Ability to resolve problems, and make decisions to enhance organizational effectiveness
- Attention to detail; the capacity to prioritize by assessing situations to determine urgency
- Ability to undertake self-directed tasks and develop a work schedule
- Excellent time management skills
- Dependability (must have a clear attendance record and reliable on time reporting for work). Must be available to work flexible hours when required due to operational requirements.
