Position Summary
This position is non-remote and requires you to be on-site at our Toronto office on a daily basis.
Responsible for the day-to-day operations of our Toronto office, including:

- Implements and enforces office policies including health and safety standards
- Greet guests & visitors, manage the check in, desk booking and phone systems
- Handle all incoming and outgoing courier packages and mail
- Manage all incoming requests related to in-office issues/inquiries and coordinate with building property management to address facilities issues and repairs as necessary.
- Manage the ordering and office inventory of all office supplies such as coffee products, printer supplies, office supplies, kitchen supplies, etc.
- Ensure all recurring office maintenance is scheduled and completed and maintain office vendor relationships
- Oversee the office management budget including reconciling expenses.

Responsible for some administrative assistance for the CEO and COO with a high degree of discretion and confidentiality, including:

- Some calendar management, scheduling of meetings
- Handle travel arrangements and logistics
- Expense reporting
- Managing incoming requests for signatures
- Coordinate executive offsite meetings as needed

**Responsible for some HR Administration, including**:

- Manage our Health and Safety committee
- Assist in creating a welcoming environment for our employees
- Assist with some employee events, as needed
- Assist with some HR Administration as needed

**Qualifications**:

- Proven experience as an Administrative Assistant or other relevant administrative support experience
- Proficiency in Microsoft 365 (especially Outlook)
- Strong organizational skills and attention to detail
- Professional level verbal and written communications skills
- Ability to organize a daily workload by priorities
- A proactive approach to problem-solving with strong decision-making skills
- Experience assisting C-Suite executives a plus
- Proficiency in Outlook’s Scheduling Assistant tool a plus
