Temporary Administrative Support Clerk

**Basic Function**: The Administrative Support Clerk is responsible for providing administrative support to the Health & Safety Services Branch. The role includes security and reception duties for the Administrative - Support Centre, back-up communications support to the Control Office, secretarial function to the Health & Safety Committee and assistance to visitors entering the Zoo Operations Complex. This position will assist and provide support in implementing the Strategic Plan.
**Responsibilities**:
- Provides administrative support duties within the Security & Safety Branch as directed by the Manager/designate.
- Maintains confidential files on security and safety matters and internal investigations.
- Develops, using Branch reports, monthly, semi-annual, and year end reports.
- Answers telephone enquiries from staff and public in a courteous and efficient manner.
- Screens removal of Zoo property from the Administrative Support Centre and reports any violations to the Manager.
- Performs as Gate Keeper for guests and staff entering the Zoo.
- Receives visitors to the Zoo Operations Complex and refers them to the appropriate office.
- Provides support to the Safe Driving Program such as checking abstracts and declarations, proctoring exams for driving and marking of exams, setting up in-vehicle assessments, typing up of VOP etc.
- Maintains access control system and prevents unauthorized access and soliciting.
- Issues and controls distribution of sensitive keys.
- Handles lost and found enquiries and follow-up.
- Acts as Secretary to the Joint Health & Safety Committee as directed.
- Compiles information for Health & Safety status report and Guest Safety report for submission to the Board of Management.
- Assists in emergency situations as directed by Branch Manager or designate.
- Provides back-up overflow communications for the site Control Office as required.
- Provides relief to the Communications Officer as directed.
- Prepares written reports on any significant incidents that occur during the shift.
- Ensures the Zoo’s Core Competency Framework for your position is anchored and integrated into daily behaviours, goals and objectives.
**Qualifications**:
- Must have 1-year post-secondary education or equivalent amount of training and related experience.
- Must have 1-3 years of work experience in office administration.
- Must be knowledgeable in the use of computerized programs and systems, including Microsoft Office 365.
- Well-developed interpersonal skills, along with strong communications skills
- Must have a working knowledge of the Ontario Occupational Health & Safety Act and WHMIS legislation.
- Must be able to work weekends and holidays.
- Must be able to deal with staff and public in a courteous, efficient manner.
- Capable of meeting the physical demands of the position.
