Reporting to the Director of Sales, the Sales & Catering Coordinator is responsible for soliciting, contracting, and finalizing smaller groups, with or without event space, as defined by the property. The role includes supporting the Sales team and ensuring follow-up for all group-related activities, including lodging, meeting space, catering, and special events, in line with sales and marketing strategy and objectives.

**YOUR ROLE**

**Sales**
- Effectively negotiates and finalizes contractual agreements with potential clients, ensuring price quotes for meeting room rentals are within established parameters.
- Demonstrates strong upselling skills when finalizing menu options.
- Conducts site inspections and client visits.
- Manages meeting room revenue through effective planning and scheduling of function space.

**Catering**
- Serve as the primary point of contact for booking and detailing small groups requiring rooms and catering, ensuring group block information in Opera is accurate, setting up billing, and handling other necessary preparations.
- Arrange audiovisual needs, configure event spaces, and prepare final invoices.
- In conjunction with the CSM, ensure all groups are detailed and information is shared with the operational departments.
- Follow up with clients during the billing process to ensure deposits are received and final bills are paid within seven days of group departure.
- Act as the liaison between operations and sales teams, keeping all parties informed of relevant developments.
- Coordinate activities according to contracts in collaboration with other departments.
- Manage and maintain Opera profiles for VIP clients, travel agents, and companies, in collaboration with the sales management team.
- Answer and address all general inquiry calls directed to the sales team.
- Assist and support the sales team with initiatives required to ensure the ongoing success of the hotel, including setting up and preparing for sales events such as trade shows, presentations, and sales blitzes.
- Perform other relevant duties as assigned.

**YOUR PROFILE**
- College or University degree preferred
- Strong organizational and planning skills, with the ability to manage workload effectively
- Guest service experience
- Knowledge of the hotel industry and the boutique hotel concept
- Excellent computer skills, with proficiency in Microsoft Office; knowledge of Opera Cloud is an asset
- High level of discretion
- Ability to work effectively in a team environment
- Strong attention to detail
