**About Us**:
The Correctional Services division of the Department of Justice is responsible for the administration and operation of community and custody-based programs and services for adults and young persons. Within the Correctional Services core business area there are two programs: community corrections & correctional facilities. Each of these program areas is broken down into closely related activities that have a specific impact on the program’s target group.
Four (4) adult correctional facilities and one (1) youth centre provide the safety and security of persons in custody while providing programs that address dynamic criminogenic factors to assist with their successful reintegration back into the community.
**About Our Opportunity**:
As the Accounting Clerk, you are critical in contributing to the overall daily operations of the Nova Scotia Youth Centre.
You are responsible for the accurate and timely posting of transactions and information to automated systems. You will assist in ensuring that incoming and outgoing documentation is accurate and that schedules are administered effectively. At times you will be required to work independently in the absence of an immediate supervisor. You will exercise discretion and efficiency in responding to requests for information in absence of immediate supervisor.
As the Accounting Clerk, you will provide a broad range of clerical and administrative support duties such as receiving and balancing monies, entering, and retrieving data from automated systems. You will also record and process documentation, adhere to policies and processes and maintain filing systems, all while working as a team player.
**Primary Accountabilities**:
- Maintain all accounts payable and expenditure records. Report any anomalies and ensure the accounts balance by month end. Coordinate with Youth Custody Manager for monthly billing. This would include credit card purchases, invoices for payment, and gas credit card reconciliation.
- Maintain records of non-public funds which includes Individual Person’s trust accounts and Special Allowance.
- Maintain filing system for individuals and administrative files as required by the Program Administration Officer and/or senior facility personnel.
- Sentence administration including calculating sentences, automatic eligibility dates for judicial review and breach information.
- Assisting with other administrative duties as assigned
- Work closely with facility administration and back fill during vacancies.
- Reports directly to Program Administration Officer.
**Qualifications and Experience**:
As the successful Clerk, you will have a High School Diploma and four years of related experience. A relevant combination of education and experience will be considered.
Strong organizational, time management and multi-tasking skills will be important. Your key skills include attention to detail, confidentiality, and the ability to work under pressure and deadlines.
A sound knowledge of computer programs such as MS Word, Excel, and Outlook is required. A working knowledge of the Justice Enterprise Integrated Network (JEIN), and knowledge of the Criminal Code of Canada; Youth Criminal Justice Act, and other federal statues that pertain to the administration of individual custodial sentences would be an asset.
The successful incumbent must demonstrate sound judgement, initiative, and tact. Knowledge of the type of duties performed by Correctional Services staff as well as the procedures of the facility, courts, and other agencies as they relate to the administration of individual person custodial sentence would be considered an asset. Accuracy and the ability to multitask and deal with changing priorities to keep objectives on track.
Confidentiality: Must assist in ensuring overall security of warrants/court orders pertaining to individuals within the correctional facility. Confidentiality and discretion are required at a high level due to details of custodial information.
