**Job Position**: Assistant, Development & Accounting

**Job Overview**:Reporting to the Senior Manager, Construction, and the Manager, Accounting, you are responsible for:
**Development Management**:

- **Document Control**:Oversee the organization and management of project documents, ensuring accurate naming and proper storage on OneDrive.
- **Stakeholder Communication**: Maintain an updated database with current information for design consultants, stakeholders, vendors, and officials to facilitate effective communication.
- **Tender Management**: Contribute to the preparation of tender packages, distribute them, and follow up with recipients to ensure a smooth tendering process.
- **Cost Estimation**: Perform quantity take-offs to support accurate cost estimation and contribute to budgeting efforts.
- **Project Closure**: Lead the management of closeout documents, compile as-builts and manuals, and diligently track and address any deficiencies for successful project closure.
- **Meeting Coordination**: Play a key role in updating and distributing meeting minutes, ensuring that relevant information is captured and communicated efficiently.

**Accounts Payable and Receivable**:

- Enter AP invoices into Accounting Software.
- Administer AP invoice approvals.
- Match invoices with contracts.
- Prepare monthly cheque run AP report.
- Generate cash requirement reports.
- Issue, scan, mail, and file cheques.
- Reconcile AP vendor statements.
- Conduct cash withdrawals at the bank.
- Scan historical invoices for documentation.
- File project estimates and AR invoices on OneDrive.
- Deposit cash at the bank.
- Scan and record cash receipts in Accounting Software.
- Prepare AR statements.

**Bank Reconciliation**:

- Assist with monthly credit card reconciliations.
- Assist with monthly bank reconciliations for multiple accounts.

**Tax Filings**:

- Assist in preparing for GST filings.

**Year-End**:

- Assist with year-end working papers.

**Essential Requirements**
- On the ball; you are highly organized and able to prioritize and manage your time effectively.
- A strong communicator; not only can you clearly express your thoughts in conversation, you can also write and present in a persuasive and influencing manner.
- Proactive; you plan for the next step of the project, increasing efficiency and effectiveness.
- A creative problem solver; you can think outside the box for solutions without fear of failure.

**Other Requirements**
- Exposure to project accounting environment (bonus points for development or construction experience)
- Ability to work under tight deadlines and under pressure (at times)
- Comfortable using office equipment, Microsoft Office Programs (Outlook, Word, Excel & PowerPoint) and previous construction accounting software experience is a bonus (Sage/Spectrum).

**Working Conditions**
