**THE ROLE**

Reporting directly to the Executive Operations Coordinator in theOffice of the Provost and Vice President Academic (OPVPA) and the Office of the President (OOP), the Executive Assistant (EA) is responsible for provision and coordination of the following critical services:

- Administrative support for the Deputy Provost including calendar management, coordinating logistics for meetings, coordinating travel arrangements and liaising with team members across the organization to resolve administrative concerns.
- Backup support to the EOC for the administrative needs of the OPVPA and OOP.
- Generation of internal reports and personnel documentation as required and requested.
- Preparing drafts of governance or project documentation as required.
- Committee administrative support (e.g., agendas, motions, notes, recordings, coordination) as directed by the EOC related to committees such as Administrative Council, Student Leadership Consultation meetings, and others as assigned.

A key requirement of this position is contributing to the flow of information and activities within the OPVPA. The EA ensures the smooth operation of the administrative functions for the Deputy Provost and their team.

The EA is responsive to the needs of the Office of the Deputy Provost, and acts under the general direction of the EOC, but demonstrates initiative and can work independently and with mínimal supervision. The position requires a high degree of accountability, confidentiality, and discretion as the incumbent will be privy to sensitive and confidential information, and will provide continuous support for business continuity planning, Integrated Resource Planning etc.

**QUALIFICATIONS**
- An office administration diploma is required plus aminimum of 3 years progressively more complex experience as an Executive Assistant in a post-secondary environment. Equivalent combinations of education and experience will be considered.
- Degree in business administration or a related fieldis preferred
- Experience supporting several senior leaders in a larger division is preferred
- Outstanding interpersonal, verbal, and written communication skills as well as excellent organizational, time-management and administrative skills.
- Strong critical thinking and decision-making skills.
- Expert knowledge of key office computer systems and software, preferably including knowledge of Microsoft Office, O365, Teams, Adobe, and SharePoint.
- Ability to work effectively under pressure, set priorities in relation to own work and delegate/allocate tasks as required
