BCIT’s** Registrar’s Office **department is seeking a **regular, full time (1.0 **FTE**) Course Information Coordinator. **The Course Information Coordinator is responsible for managing the dynamic full-time and part-time course and program database. This includes ensuring accuracy in the creation and implementation of new and existing course and program catalogues that facilitate all registration, assessing of tuition, fees and grading. The Course Information Coordinator is also responsible for conducting quality assurance checks, to ensure that the student information system (SIS) and corresponding website information is accurate, reviewing reports and working with a variety of internal stakeholders on processes, projects and initiatives related to the entire course file system.**Duties & Responsibilities**

**DUTIES** **AND**

**RESPONSIBILITIES**:

- Creates and maintains all full-time and part-time course information for all programs, (includes technology, degree, technical studies, trades and apprenticeship programs)
- Ensures tuition and fee assessment functions are in accordance with Tuition Principles and Institute policies
- Determines the correct coding of courses and programs required for the Central Data Warehouse submissions led by the Institutional Research department
- Creates operational timelines including planning, defining and implementing critical path deadlines and tasks for each term to ensure that course and program information is ready for publishing and registration
- Creates and maintains blocks and sections for full-time and part-time technology, degree, technical studies, trades and apprentice registration
- Sets up special sections for advanced placement, re-admit and course-by-course students and determines the appropriate tuition and fees
- Recognizes the need and creates and/or updates any forms required to facilitate work requests by the Course File department
- Ensures that schedule forms are complete with all required data and contacts faculty and/or staff to resolve missing or incorrect data issues
- Liaises with faculty and staff and provides advice and information related to coding and maintenance of all courses and programs
- Works with the High School Partnership Coordinator to assess a variety of student types and Memorandums of Understanding (MOUs) in order to create appropriate sections and fee assessments for high school intakes
- Works collaboratively with internal stakeholders to review tuition and fees annually and ensures that increases are applied to courses and programs in accordance with Tuition Principles
- Ensures that any new fees are applied properly and that the tuition assessed by Banner reflects what is published on the BCIT website
- Develops training material that reflect system requirements (including policies and timelines) for part-time studies courses and delivers related training sessions
- Uses a variety of methods and systems to identify data errors that may occur in (but are not limited to) credit calculations, organization codes, funding types, course naming and course numbering conventions. Provides solutions and corrects errors
- Provides input into report development to meet a variety of internal and external needs
- Develops and maintains an electronic and paper-based records management system and ensures that action is taken as required
- Maintains a thorough understanding of course file processes, policies and procedures
- Uses Banner extensively and keeps current on all new software releases
- Maintains quality control by consistently producing error-free work
- Reviews procedures on a continuous basis and makes recommendations for change where needed
- Represents the Course Information Office in meetings as required
- Undertakes related duties as assigned, consistent with the job grade of this position

**Qualifications**

**QUALIFICATIONS**:

The qualifications represent the minimum qualifications required in the future (i.e. to be reflected in job postings) and do not reflect the incumbent’s existing qualifications.
- **Education**
- Completion of specialized training programs of up to two year’s duration. For example, a Diploma or completion of a related two-year full-time program

**Experience**
- Two years general experience in a registrarial environment plus one year of experience in a systems-related position in a complex enterprise environment, preferably related to student systems and data in an academic institution

**Software/Computer Application(s) and Expertise**
- Advanced level of Banner Student and course file configuration strongly preferred
- Familiarity with Cognos
- Understanding of student information systems
- Training and experience using MS Office products is essential

**Communication/Interpersonal Skills**
