**DESCRIPTION**:
Under the general supervision of the Supervisor Category Management - Indirect, the Contracts Assistant will primarily be responsible for providing administrative support to the Supply Chain Department. This involves interaction with contractors and vendors, Legal and corporate business units and all field departments. This position also assists in the assembly and coordination of tenders and contracts.

**Please note this is a six (6) month Term position.**

**DUTIES & RESPONSIBILITIES (but not limited to)**:

- Coordinate the administration of the vendor Pre-Qualification program which includes sending, tracking and reviewing the self-assessment packages for potential contractors to ensure proper legal and safety information is provided, and updated as required.
- Coordinate with various contractors and internal stakeholders to ensure all the steps involved in the Technical Qualification program are followed and documented.
- Provide support and training for internal and external users on ISN, a third party Pre-Qualification program this includes responding to contractor queries, and creating and maintaining various reports for Safety and Supply Chain.
- Create, maintain, and report on Contractor information in SAP and internal and external websites.
- Provide assistance to the Contracts Analysts in the preparation of tenders and contracts. This includes preparing spreadsheets, populating agreement templates, coordinating signatures, arranging document printing, mail-outs and tracking bids.
- Run monthly reports on contracts, internal controls, contractors, insurance, and WCB.
- Document and maintain Contracts Assistant training process.
- Use of the iRIMS Program for the filing of contracts and pre-qualification files.
- Distribute manuals and updates to contractors for all FortisAlberta policy and structure changes.
- Administer the GPO program to ensure consistency of use.
- Track and follow-up on all incoming and outgoing documents of the department.
- Special projects and other duties, as assigned.

**KNOWLEDGE, SKILLS & ABILITIES**:

- Demonstrated ability to build strong partnerships with all levels of employees through intuitive business insight and personal credibility; this includes the ability to make recommendations and influence outcomes.
- Excellent organizational and time management skills in order to effectively manage and prioritize multiple and competing demands from numerous stakeholders within tight timelines.
- Self-starter with the ability to work either in a team environment or independently.
- Demonstrated strong written and verbal communication skills in the management of requests from various departments and team members.
- Demonstrated proficiency (intermediate to advanced skills) in Microsoft Office (Outlook, Word, Excel, Access, PowerPoint).
- Demonstrated initiative in recognizing opportunities for improvements and efficiency in processes and practices.
- Strong ability to focus on details in order to produce documentation with a high level of accuracy and professionalism.
- Working knowledge with SAP and SharePoint would be considered an asset.

**REQUIRED QUALIFICATIONS**:

- A completed High School Diploma plus one (1) year of experience in a role whose duties include tendering, contract support, or procurement activities is required

**PREFERRED QUALIFICATIONS**:

- A completed post-secondary certificate, diploma, or degree in a related field would be considered an asset.
- Completion of a post-secondary continuing education program in Supply Chain Management or a Supply Chain Management professional designation would be an asset.
