**Job Duties**:
The position will aid the Procurement team in fulfilling its’ own goals and objectives that will align with and support Reena, Reena Foundation and Batay Reena and each of the organizations’ missions, mandates and goals.
- **1) Procurement and Administration**_
- Organizes all equipment and services warranties and records with vendors and departments.
- Identify purchasing trends opportunities and concerns, in consultation with the procurement Manager.
- In consultation with relevant departments, provide support to research, negotiate, develop and implement new specifications and sources of supply for major equipment, supplies and services.
- Anticipate future purchasing needs through analysis and appropriate planning.
- Provide information to meet specific purchasing needs within established budget and financial constraints.
- Provide product cost data and literature on comparative purchase and value analysis.
- Provide managers with purchasing tools as necessary and available (e.g., gas cards, e-commerce account details).
- Support compliance with the Broader Public Sector Accountability Act in supporting purchasing requests, documentation and solicitation.
- Coordinate delivery of new and existing services for vendors and suppliers to departments/locations as required
- Generate purchase orders as required for assigned major purchases, and resolve any purchasing issues with related suppliers
- Provide support to locations for the set-up and change requests for internet, multi media services, cable, satellite, and land line/VOIP connections.
- Consult on product selection for projects more then $10,000.
- Compile and analyze reports from various information systems (e.g., accounting, vendors, management, and OTS systems).
- Act as a designated back-up, as required for the Procurement Manager
- Assists with general office duties as requested and required at Reena
- Support the Property department as needed
- Other duties assigned
- **2) Fleet Administration**_
- Coordinates the periodic maintenance and servicing of Reena fleet.
- Facilitate all vehicle licensing, accessible Parking Permits, insurance, road assistance etc.)
- Source and acquire vehicles for the fleet when needed.
- Maintain fleet records and provide written updates to managers.
- Approve vehicle maintenance requests as required.
- Provide the CFO with lease obligation figures for annual financial statement based on all leased vehicles and equipment.
- Support managers in submitting and documenting vehicle and property insurance claims and act as the primary contact to the broker.
- Provide support in reviewing fleet related leases.
- **3) Organizational Support**_
- Responsible for effective operations of facilities across Reena Locations.
- Provide staff training opportunities regarding purchasing procedures with preferred vendors
- Develop resources to provide managers with information to support the maintenance of physical assets.
- Identify opportunities for cost savings in commonly used goods and services, and provide details to the Procurement Manager.
- Support innovative and improved buying techniques such as Systems Contracts, and centralized buying.
- Responsible for ensuring availability of required supplies for the effective operations of facilities across Reena Locations
- Other duties assigned

**Qualifications**:

- University Degree in Business, management or equivalent.
- Working towards a Procurement or Project Management certification would be an asset.
- 3-4 years’ experience in Category, purchasing and/or inventory management.
- Experience in budgeting, forecasting, pricing, and sourcing of supplies.
- Ability to work independently and as part of a team, exercising judgment and initiative and involves multi-tasking.
- Strong organizational and time management skills.
- Strong ability to build relationships both internally within different departments and externally with suppliers.
- Intermediate to Advanced level of Microsoft Outlook, Word, Excel.
- Ability to work with others as a member of a team.
- Independent thinker capable of taking initiative and finding solutions for challenges.
