Project Coordinator, Transportation Planning & Design

Transportation Planning and Design is looking for a talented Project Coordinator to be involved in managing the planning and design of diverse transportation infrastructure projects. In this challenging position, day to day work includes working on projects such as concept and/or preliminary design of Roads, Interchanges, Bridges, Light Rail Transit corridor, active transportation infrastructures, and alignment studies for river crossings, roadways, and LRT, as well as, roadway renewals all in support of the City’s plan for growing Edmonton to a city of 2 million people - The City Plan.

You will work in an integrated business model. The Project Coordinator will report to the Program Manager, and will support projects by providing technical expertise and administrative oversight. With a focus on the City of Edmonton’s Cultural Commitments to Safe, Helpful, Accountable, Integrated and Excellent, you will:
**Project Coordination**
- Support the Project Manager and the team in preparing project management documentation and public engagement processes as per the Project management best practices, applicable City policies, procedures and standards
- Support and provide/input information into City’s Project Management Information System (PMIS)
- Liaise with the business partners throughout the project
- Attend meetings and perform support/administrative activities
- Contribute to the design, implementation and continuous improvement of project management processes and practices
- Participate actively in the development and documentation of project lessons learned and risk management
- Coordinate and facilitate design drawing circulation reviews

**Lead and support the development and administration of contracts**
- Prepare and execute consulting agreements/construction contracts and invoices; Review/revise contracts as needed
- In collaboration with the appropriate team members, prepare project change requests, change orders, amending agreements and track change management
- Track and monitor project costs on a regular basis
- Monitor and report on any scope or cost or schedule variances to the project manager
- Provide recommendation on mitigation strategies for any contractual variances as it applies to scope, schedule and budget and implement as directed
- Record and maintain a detailed record of vendor performance
- Gather information, and provide summary/snapshot compliance to contract agreements
- Look at monthly project progress reporting requirements for completeness and compliance
- Escalate contract management issues where required
- Manage and control standing arrangement and/or open order contracts

**Lead and/or assist in the project development**
- Coordinate meetings and site visits to support project development (feasibility studies, transportation design projects, public engagement activities, etc.)
- Prepare budget estimates and review concept/preliminary drawings
- Prepare cost estimates/schedules/reports
- Respond to inquiries received from the public, other City groups and Council in a timely manner
- Ensure projects adhere to technical specifications and other contractual obligations
- Initiate and assist in the consultant procurement process through SAP Ariba
- Assist in the consultant supplier performance management program

**Safety and Environmental**
- Ensure the project abides by any applicable City of Edmonton Occupational Health and Safety Standards and Guidelines
- Assist project managers in identifying and meeting environmental review and permitting requirements
- Perform other related duties as required

Qualifications:

- Degree in a related field such as Engineering, Architecture, Landscape Architecture, Environmental Science, Business, or Project Management and a minimum of 2 years directly related experience in project management for infrastructure planning, design and construction

**OR**
- Diploma in a related field such as Engineering, Construction, Architecture, Landscape Architecture, Environmental Science, Project Management or Trade Certification and a minimum of 4 years directly related experience in project management for infrastructure planning, design, and construction
- Experience working with external consultants
- Experience with SAP Ariba, SAP, e-Builder and Google Suite (including Docs, Sheets, Drive, etc.) would be an asset
- Strong project coordination skills including an understanding of project management processes, methods and techniques (PMBOK best practices)
- Demonstrated knowledge in using project management methodologies, including PMBOK
- Course work/training in project coordination/management would be an asset
- Demonstrated experience working with multi-disciplinary teams in the design/delivery of transportation infrastructure projects
- Strong technical skills in planning and design processes related to civil/transportation engineering
