We are currently seeking an Administrative Assistant to join our team. In this position you will support Transport Dsquare Managing Partners in daily needs and manage our company’s general administrative activities.

**Job Position**

Administrative Assistant

**Purpose**
- Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant.
- Knowledge of office management systems and procedures.
- Working knowledge of office equipment, like printers and fax machines.
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multi-task.
- High School degree: additional qualification as an Administrative Assistant or Secretary will be a plus.

- Answer and direct phone calls.
- Organize and schedule appointments.
- Plan meetings and take detailed minutes.
- Assist in the preparation of regularly scheduled reports.
- Develop and maintain a filing system.
- Update and maintain office policies and procedures.
- Order office supplies and research new deals and suppliers.
- Maintain contact lists.
- Book travel arrangements.
- Submit and reconcile expense reports.
- Provide general support to visitors.
- Act as the point of contact for internal and external clients.
- Liaise with the executive team to handle requests and queries from senior managers.

**Objectifs**
- Expérience éprouvée en tant qu’Assistant/e Administratif, assistant/e virtuel ou assistant/e d’administration de bureau.
- Connaissance des systèmes et des procédures de gestion de bureau.
- Connaissance pratique de l’équipement de bureau, comme les imprimantes et les télécopieurs.
- Maîtrise de MS Office (MS Excel et MS PowerPoint, en particulier).
- Excellentes compétences en gestion du temps et la capacité de prioriser le travail.
- Souci du détail et compétences en résolution de problèmes.
- Excellentes compétences en communication écrite et verbale.
- Solides compétences organisationnelles avec la capacité de multi-tâches.
- Diplôme d’études secondaires: une qualification supplémentaire en tant que assistant/e administratif ou secrétaire sera un plus.
