**JOB DESCRIPTION**

Reporting to the Executive Director, the Administrative Assistant provides support to the Coffee management team, by ensuring a welcoming and professional office environment, assisting the

Executive Director with administrative tasks, supporting the Finance Coordinator with accounting tasks, and generally assisting all employees in the smooth operation of the office.

**Specific Duties**:
**Administrative**
- Greets and welcomes visitors to the office and receives and routes mail and deliveries.
- Knowledge of computers, microsoft office and quickbooks.
- Purchases supplies.
- Maintains records - both paper and electronic files
- Processes orders, payments, create invoices, data entering for production and file all documentation in electronic and paper filing systems
- Oversees and maintains contact database and monitors for tribute card requests
- Advises proper channels of all information received.

**Financial**
- Assists the Finance Coordinator with bookkeeping tasks, including: o Posting transactions to QuickBooks Online o Preparing accounts payable invoices for approval and coding o Preparing accounts receivable invoices o Preparing accounts payable cheques for authorized signatures, maintain cheque records, and disburse cheques o Preparing bank deposit slips and depositing funds to banking institution
- Processes all orders in a timely manner.
- Conducts monthly income reviews of all sales.
- Coordinate customer payments

**QUALIFICATIONS**

**Education & Experience**
- 2 to 3 years’ experience working in an office setting in administration

**Knowledge, Skills & Abilities**
- Working knowledge of bookkeeping tasks such as accounts payable, cheque preparation, and bank deposits
- Proficiency with MS Office 365 including Word, Excel, Outlook and PowerPoint
- Familiarity with QuickBooks or similar accounting software
- Familiarity with customer relations management software
- Excellent communication skills, both written and oral
- Efficient and organized
- Friendly professional attitude
- Excellent time management
- Able to prioritize and multi-task within assigned deadlines
- Willing to help production to complete task.

**WORK ENVIRONMENT**

The Administrative Assistant spends most of their time in an office.

Attendance at monthly board meetings on virtual platforms. Multi-tasking in a fast-paced environment is required.

**Salary**: $18.00-$22.00 per hour
