The **Executive Assistant** to the **CEO and CFO** is responsible for providing support including: managing schedules, handling correspondence, organizing meetings, maintaining records, ensuring smooth operations and effective communication within the organization. This individual will be a self-starter, highly motivated and thrive working in a fast-paced team environment.

**Responsibilities**

While every day may bring new and different challenges the responsibilities for the Executive Assistant include:

- **Managing the CEO and CFO’s calendars**: This involves scheduling appointments, meetings, and events, and ensuring that the CEO and CFO are aware of their schedules and commitments. Responsible for organizing their calendars of internal and external meetings and events, including resolving issues, making travel arrangements, and more. It is ultimately the responsibility of the Executive Assistant to ensure that the CEO and CFO are where they need to be when they need to be there. Factoring in necessary downtime, personal commitments, and their specific scheduling preferences.
- **Organizing meetings**: This involves coordinating logistics, preparing agendas, and taking minutes as required. Co-ordinate and prepare documents and Board package to be reviewed and presented to the board of directors, executives and other committees.
- **Maintaining records**: This includes maintaining effective systems and processes for simplified document management. Maintain various corporate records and documents.
- **Providing general support**: This includes tasks such as answering phone calls, greeting visitors, coordinating travel arrangements and personal errands.
- **Managing Confidential Information**:The CEO and CFO are privy to sensitive matters requiring the highest levels of confidentiality. Honoring confidentiality, using discretion, and practicing good judgment are all integral to success in this role.

**Education, Experience and Qualifications**:

- Bachelor’s degree or certificate in related field
- Self-motivated with a sense of urgency
- Excellent written and verbal communication skills
- Time-management skills

- Solid understanding of Microsoft Office
