**Job Summary**:

Reporting to the Director, GO Implementation Office, the Project Coordinator will assist in various day-to-day activities associated with managing the GO implementation project. The incumbent will coordinate with various individuals (internal and/or external), as advised by the Director and Project Lead/Manager(s), to facilitate planning, execution, monitoring and reporting. The Coordinator is responsible for day-to-day financial, project and administrative support for the project management team. S/he/they will be responsible for project specific communication & collaboration within cross-functional teams. S/he/they may also be required to autonomously manage some low-risk internal sub-projects.

**Education**:

- Diploma from a recognized college in related discipline; e.g. Business Administration, Office Administration.
- Higher degree in related discipline (e.g. BA in Business Administration or Commerce) is preferred.
- An equivalent combination of education, experience and qualifications may be considered.

**Knowledge**:

- 3 - 5 years of progressive administrative experience.
- 5 years of senior administrative experience in a municipal environment is preferred.
- 2+ years of experience in project management is preferred.
- Proficiency in use of Microsoft Office Suite (Word, Excel, PowerPoint, Publisher).
- Knowledge of project management tools/software and stakeholder engagement and consultation principles and techniques. Strong analytical thinking, decision-making, planning, prioritization and execution skills, culminating in results-oriented problem solving is preferred.
- Microsoft Project experience is preferred.

**Responsibilities**:
**_ Project Coordination (25% of time)_**:

- Create and manage internal (team) documents defining project scope, goals and deliverables.
- Maintain project documentation on changes to project scopes, issues, and contingency plans as required.
- Provides primary support on behalf of team for input from other corporate advisory groups.
- Coordinate day-to-day activities, resources, equipment and information related to managing projects, as assigned by Director and/or Leads.
- Generate action items from meeting notes and distribute those to assigned individuals.
- Identify bottlenecks, risks and opportunities; take appropriate action within scope of role or identify solutions/recommendations where escalation is needed. Be the escalation point for project specific issues.
- Look for opportunities for continuous improvement in project processes, reporting and resourcing. Identify solutions and implement alternatives within scope, or recommend solutions and escalate for decision as needed.
- Independently manage some small, low-risk internal sub-projects, ensuring compliance to requirements and adherence to budget and schedules, within the scope of the larger overall project.

- Assist in developing high quality templates to standardize reporting, processes and management of the project portfolio.
- Provide support in the preparation of process diagrams, spreadsheets and meeting notes.
- Tracks and updates the project legislative calendar related to Council/external reporting.
- Follow up on assigned action items and track those to closure.
- Coordinate and track functional progress in master schedule, to satisfy internal and external reporting.
