The duties of the Events and Advertising Coordinator is to manage internal event programming; receive, respond to, and process external event booking requests or inquiries; and build and maintain the Gerts brand across both social media channels and campus communication networks.

RESPONSIBILITIES:
1. Event coordination, venue management:

- Manage all booking requests for events in the Gerts space and liaise with clients to determine event requirements;
- Manage all live music event requests, coordinate with Gerts management team to appropriately schedule live music events;
- Answer general inquiries from potential clients, communicate booking packages and pricing options;
- Ensure clients understand rental expectations outlined in the booking contract, answer any questions as needed;
- Coordinate with the Gerts management team to ensure all needs are met for event bookings, such as proper staffing, adequate security, audio-visual requests, etc;
- Prepare booking contracts and preliminary invoices for clients, send completed contracts for signature and follow up on any issues as needed;
- Ensure all administrative procedures are met in the booking process, such as data entry for record keeping, work with Gerts management team and Accounting team to ensure events are properly processed;
- Assist Gerts management team with promoting the venue and events as needed through a variety of marketing channels, such as social media;
2. Advertising, social media, outreach:

- Plan, develop, and implement social media strategies and posting schedules, create and publish engaging text, image, and video content constantly and consistently, according to the social media plan;
- Regularly conduct diverse marketing campaigns to attract new followers and grow audiences on social media platforms;
- Regularly search for and utilize existing campus communication channels to efficiently leverage brand reach and influence;
- Facilitate online conversation conversation with clientele, respond to questions;
- Track customer engagement metrics and web traffic, research and prepare for upcoming trends, set measurable engagement goals semesterly and annually;
- Take photos and videos regularly and during events to build a ongoing digital library of usable content;
- Design, print, and post or distribute posters, stickers, and any other physical promotional materials;
- Ensure compliance with Quebec laws and legislation regarding general advertising, as well as advertisements involving liquor;
QUALIFICATIONS:

- Availability of hours/week that is fairly consistent on a weekly basis;
- Preferred 6 months experience in event coordination, venue operations, or a similar field;
- Required 4 months experience in social media coordination;
- Ability to work in person to attend team meetings, and as needed;
- Diligence and impartiality in execution of duties;
- Ability to work in a high-pressure environment;
- Strong communication skills in English and French;
- Highly organized and strong attention to detail;
- Knowledge of the SSMU's Internal Regulations, Constitution, Policies & Plans and Committee Terms of Reference.
