Are you passionate about preserving history and making it accessible? We’re seeking an enthusiastic individual to take on the role of **Archives Assistant**. As part of our dynamic team, this pivotal role involves managing archival collections and university records throughout their lifecycle, engaging with donors, researchers, faculty and staff, and ensuring the preservation of valuable materials for future generations.
**What You’ll Do**:
- **Faculty Liaison & Training**: Support university faculty and staff in managing records effectively, offering guidance and training to streamline processes.
- **Collection Management**: Facilitate the transfer of private donor collections and university record collections to the Archives, ensuring proper accessioning, storage, and organization.
- **Publication Coordination**: Contribute to maintaining the Archives’ collection of university publications.
- **Outreach Initiatives**: Assist in planning and executing engaging displays, virtual exhibitions, and special events to promote archival outreach.
- **Guidance & Support**: Provide direction to assistant staff and student assistants, fostering a collaborative work environment.
- **Order Processing**: Manage duplication orders and coordinate payments efficiently.
- **Material Handling**: Retrieve and re-file archival material for clients, ensuring easy accessibility.
- **Special Projects**: Participate in diverse projects related to conservation, digitization, and programming as assigned.

Position Requirements
**What You’ll Bring to the Position**:
- Bachelor’s degree from an accredited university. Preference for background in social sciences or humanities or courses in library, archives and/or records management.
- Three to five years relevant experience in an archives or records management position.
- Equivalent combination of education and experience may be considered.
**Skills That Will Ensure Your Success in this Role**:
- Demonstrated ability to identify and synthesize complex and often conflicting information accurately and efficiently.
- Demonstrated knowledge of archival and records management resources, policies, and procedures.
- Proven record of effective oral and written communication skills with both individuals and groups.
- Demonstrated ability to deal with colleagues, clients, donors, and stakeholders in a positive manner, including managing conflict and building consensus.
- Demonstrated ability to recognize sensitive situations, exercise discretion and maintain confidentiality.
- Demonstrated proficiency with Microsoft 365 products and the Internet.
- Ability to move heavy (up to 15 kg) loads.

Pay Grade CUPE Phase 5 Salary Range $53,617.20 - $72,381.40 annually Status Permanent Work Hours
Monday to Friday — 8:15 a.m. — 4:30 p.m.
