Graphics Coordinator

**Primary Purpose**
Effectively manage and coordinate all aspects of the graphics department, ensuring smooth workflow and timely delivery of projects. The Graphics Coordinator serves as the main point of contact for new jobs, collecting necessary information and facilitating communication between customer service, Graphic Artists, scheduling and other stakeholders.
**Key Accountabilities**:
**Coordination**:
- Assume the primary responsibility of receiving all incoming job assignments from the customer service department and act as the designated liaison within the graphics team.
- Serve as the primary point of contact for customer service regarding graphics-related inquiries, promptly addressing their queries and providing updates on job status.
- Engage in active listening and effective communication to gather all necessary information and requirements for each job, ensuring a comprehensive understanding of project needs.
- Collaborate closely with customer service representatives to ensure seamless information flow, minimize potential miscommunications, and maintain a high level of customer satisfaction.
**Assessment**:
- Perform comprehensive pre-flight assessments on new files to ensure the availability of all necessary elements for graphics production, while proactively initiating ink drawdown orders as per requirements.
- Conduct thorough pre-flight assessments of newly received files to ensure the graphics team possesses all necessary elements, while also proactively ordering ink drawdowns as needed.
- Verify the suitability of incoming files for graphics production, meticulously checking for design integrity, file format compatibility, and adherence to established technical specifications.
- Collaborate closely with the graphics team to identify any missing or incomplete elements within the files, promptly requesting additional assets or information from relevant stakeholders.
**Documentation and report management**:
- Take responsibility for accurately entering new job into the WebCenter and job tracker, maintaining a real-time and up-to-date status of the tracker
- Manage the entry of new plate orders into the plate tracker system and diligently and follow up with external suppliers or internal stakeholders until plates and received/delivered.
- Ensuring timely delivery and adhering to a strict update timeline of 2-3 hours to maintain accurate and precise information at all times.
- Regularly review and verify data entries for accuracy, promptly correcting any errors or inconsistencies to maintain the integrity and reliability of the tracking systems.
- Regularly monitor the status of jobs in graphics and plate orders, promptly identifying any discrepancies or delays.
**Job Progress Monitoring**:
- Collaborate with the scheduling department to establish work priorities, communicate due dates to the graphics team, promptly report any potential delays, and provide timely updates to ensure effective workflow management.
- Proactively monitor the progress of projects, promptly reporting status updates to the scheduling department and providing timely updates, and Promptly notifying the graphics manager and scheduling of any potential delays.
**Required Qualifications**:
**Education**
- College Diploma or Bachelor’s Degree
- 2-4 experience in graphics
**Experience**
- Good understanding of printing (Flexo) and packaging industry
- Proficiency with Adobe Creative suite (Illustrator, Photoshop, and Acrobat pro).
- Experience with ESKO Suite, is a big plus
- Experience with creating LEN files for Flexo plate making is preferred.
- Post-Secondary education or a certificate in a related field would be an asset.
Experience with color correction is highly preferred.
