**Operations Project Specialist**

The Operations Project Specialist provides support and execution with planning, organizing, implementation and project control. This role supports the organization with all duties and ensures desired results are met. This is a hands-on technical position that includes support in administration, sales, and projects. The successful team player will have a positive mindset that believes that people can reach their potential and live life the way they truly want through shifting paradigms.

This role mainly works from home. The applicant will be required to attend in-person meetings and events within the Greater Toronto Area.

**Duties and Responsibilities**
- Track project performance and analyze deliverables against requirements.
- HubSpot daily management - merge duplicate contacts, allocate leads, create tasks, run reports, analyze activities.
- Prepare status reports and submit deliverables ensuring that quality standards are met.
- Coordinate the development of manuals, training materials and other documents as needed.
- Identify and develop new opportunities for clients.
- Manage independent contractors and ensure projects are completed on a timely basis.
- Help promote a company culture that encourages top performance and high morale.
- Support COO and CEO with outlined tasks and report outcome on the deliverables
- Work with the other departments including the supporting of sales efforts, administrative tasks, proofreading marketing content, and supporting the management of the client journey.
- Administrative tasks can include but are not limited to organizing and scheduling meetings, maintaining contact lists, creating landing pages, data entry, book travel arrangements, and more.
- Attend and coordinate team meetings, prospect events and client events.
- Manage lead enquiries and follow up program questions while maintaining master sheet data including the lifecycle of leads and sourcing information.
- Vendor management
- Complete/ allocate project tasks to teams best suited to complete them.
- Create a timeline of goals to be met.
- Develop project plans for clients and team.
- Other duties as assigned.

**Skills & Qualifications**
- Advanced analytical and time management skills
- Solid understanding of financial management
- Strong management and leadership skills
- Excellent communication skills, both written and verbal
- Event management experience - plan, advertise, execute, report results.
- Proven experience in project management and operations
- Ability to produce high-quality work consistently with little or no supervision on a variety of projects.
- Attention to detail and conflict-resolution skills.
- Ability to address problems and opportunities for the company.
- Advanced proficiency in Word, Excel, PowerPoint and Canva.
- Ability to learn new software platforms with a technical aptitude.
- A PMP certification and experience with WordPress and/or experience with AI is an advantage.
