Program Assistant, Public Health Foundation (1 Part -Time)

The Middlesex-London Health Unit has an exciting opportunity for a Part-Time Program Assistant to work in the Public Health Foundations division at the Citi Plaza location, London Ontario.

**KEY RESPONSIBILITIES**:

- Provide administrative support for the entire Public Health Foundations Division including the Strategy, Planning and Performance, Health Equity and Indigenous Reconciliation, and Population Health Assessment and Surveillance Teams
- Schedule team and project appointments and meetings
- Attend meetings across the division, prepare agendas and record meeting minutes and summarize action items.
- Format, prepare and support development of key documents, reports, presentations, and letters.
- Maintain database, checklists and run routine reports.
- Complete data entry, for the purposes of data analysis or reporting, of statistical and indicator information
- Supporting the ordering of necessary supplies, maintain inventories, resources, mailing lists and key contacts.
- Support accurate budgeting processes through reconciliation of credit card statements and processing invoices.
- Be responsible for filing, record keeping, and document management, including structure and content support for the Public Health Foundations SharePoint site.
- Support content development for Policy Manager
- Organize and complete registration for various divisional training and development opportunities.
- Handle divisional mail, including preparation of large mail-outs (hard and electronic)
- Perform other duties as assigned.

**QUALIFICATIONS**:

- Post-secondary program in administrative studies of at least one year
- Strong interpersonal and communication skills to provide excellent customer service and work effectively and collaboratively with team members.
- Strong organizational and time management skills, with a proven ability to take initiative, prioritize work, and balance competing work demands across three teams.
- Demonstrated ability to prepare comprehensive and accurate meeting minutes.
- Demonstrated ability to efficiently format reports and presentations to a standard.
- Skills and experience in supporting teams and managers.
- Knowledge of health inequities and how they are perpetuated would be an asset.
- Demonstrated commitment to contributing to a positive workplace environment.
- Communication proficiency (written and verbal) in French and/or any other language is considered an asset.

The hourly rate for this position ranges from $23.92 to $29.90 based on qualifications and experience.
