Job Summary

This position provides administrative coordination and support for students in academic programs offered through the Social and Economic Change Laboratory (SE-Change), and the Faculty of Management (FoM).

Organizational Status

Reports directly to the Manager, Academic Programs, SE-Change. This position works in collaboration with other Faculties and units on both campuses, including but not limited to: Academic Advising, Enrolment Services, Disability Resource Centre, Financial Services, University Relations, Provost’s office, Development and Alumni Relations, ISI (International Student Initiative), SRA (Student Recruitment & Undergraduate Admissions), COGS (College of Graduate Studies), and all Okanagan Faculties, and the Vancouver-based Faculty of Land and Food Systems.

Work Performed

Provides program coordination and student support:

- Provides general information to current and pre-admission students, including academic program options and tuition deposit instructions.
- Assists students with course selection and registration.
- Administers complex processes of academic concessions and advises students on the
process and appropriate forms and documentation required.
- Understands the background information and documentation required to make decisions on academic concessions and proactively undertakes the appropriate steps to obtain that information in a timely manner.
- Navigates the Student Information Services Centre (SISC) using a high-level restricted access and makes changes to student records, as required, e.g., course registrations, Sessional Evaluation status. As processes change, it is expected this level of access will be utilized with Workday.
- Monitors changes to university academic and administrative policies; assisting with development and review of policies and procedures relating to academic programs in SE-Change and FoM.
- Performs degree audits to ensure students have completed degree requirements.
- Performs pre-requisite checks to ensure students are meeting course requirements, and manages course enrolment appropriately, communicating with students and instructors in a timely, diplomatic manner.
- Drafts agendas, records and transcribes meeting minutes and follows up on the progress of action items.
- Assists with assignment and monitoring of awards and scholarships as recommended by SE-Change or FoM.
- Oversees the tracking of student performance and notifies Academic Program Coordinators of withdrawals and provisional/probationary standings.
- Investigates venues, books venues and arranges for payments to vendors, working within approved budgets for activities associated with academic programming.
- Ensures proper submission of student and faculty administrative forms.
- Assists with developing schedules and timetables.
- Revises and maintains course and program-level timetabling in response to program policy changes.
- Prioritizes and directs incoming tasks for timely and appropriate actions and responses.

Assists with student communications:

- Maintains information flows to students regarding notification of critical dates and deadlines (e.g., course registration, add/drop and withdrawal deadlines).
- Ensures that SE-Change and FoM website content is accurate, clear, updated in a timely manner and is consistent across other UBC sites, as required.
- Works with Canvas and SISC to send out notices and communicate program-level information to students.
- Updates program related documents such as student and faculty handbooks, and related information such as handouts, forms and web entries.

Supports student recruitment activities for SE-Change programs:

- Applies in-depth knowledge and understanding of complex admission requirements and admission policies in responding appropriately to inquiries.
- Designs and executes social media activity, based on an overarching strategic plan, in accordance with recruitment and admissions objectives.
- Acts as a first point of contact to prospective students, establishing an effective relationship on behalf of SE-Change.
- Prepares and updates promotional materials for ongoing recruitment programs.
- Participates in the development of materials for planning, coordinating and delivery of on
