Sales and Marketing Coordinator

**Key Responsibilities**:
**1. Administrative Support (12 hours per week)**
- Provide direct administrative support to the entire sales team, including calendar management, meeting coordination, and travel arrangements.
- Handle vacation and sick day requests for the sales team, ensuring accurate tracking and reporting.
- Manage and update line items and special programs on the sales dashboard, including pricing modifications and flagged insulation jobs.
- Assist in onboarding new team members, including coordinating basic training and dashboard training sessions.
**2. Event Planning and Coordination (6 hours per week)**
- Plan and organize team-building events, ensuring alignment with company culture and objectives.
- Coordinate special events, such as home shows, grand openings, and Greenfoot-initiated events.
- Collaborate with relevant teams to gather and compile information required for successful event execution.
**3. Sales Data Management (5 hours per week)**
- Prepare monthly and quarterly sales data sheets and presentations, providing granular insights for the sales team.
- Track, organize, and disseminate sales and leads data, ensuring accuracy and consistent timeliness.
- Monitor and report CSR booking rates and reasons for booking or not booking.
- Compile secret shopper reports and compile findings to improve sales strategies and customer service.
- Gather requested information from Home Comfort Advisors (HCAs) regarding specific sales markets and other relevant data.
**4. Marketing and Print Material Management (8 hours a week)**
- Coordinate the design, ordering, and distribution of business cards for the sales team.
- Organize and track the dissemination of print materials to various offices, ensuring each location has the appropriate resources.
- Work closely with the marketing team to compile requested information, and coordinate the dispersal and organization of such material.
- Manage Google Reviews (directing to correct person)
**5. Special Programs Management (4 hours per week)**
- Manage the execution and tracking of special programs within the sales department.
- Ensure accurate and up-to-date information on special programs is reflected on the dashboard.
- Referral program implementation
- Administer the refurbishment program.
**6. Communication and Reporting (3 hours per week)**
- Compile and present requested information to the sales team and other relevant stakeholders.
- Maintain clear and open communication channels with all sales team members, ensuring they are informed of updates, events, and important deadlines.
- Provide regular reports on team activities, sales data, and event outcomes.
- Maintain sales portal information and communication
**Qualifications**:
- **Experience**: Minimum 2-3 years of administrative support experience, preferably in a sales or marketing environment.
- **Education**: High school diploma required; an associate's or bachelor’s degree in business administration or a related field is a plus.
- **Skills**:
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and familiarity with CRM systems.
- Excellent verbal and written communication skills.
- Attention to detail and a high level of accuracy.
- Ability to work independently and as part of a team.
- Experience in event planning and coordination is an asset.
