About the Role
The Branch Coordinator is responsible for the operations of the administrative department and the office environment. The Branch Coordinator ensures seamless operations of the office and virtual services through effective and efficient administrative activities. The Branch Coordinator understands the impact of this position to other business functions that depend on it.
The Branch Coordinator is the focal point of administration within the Self-Government Branch, with timely support, efficiency and professionalism being the key goal at all times. This position supports the Self-Government leads and reports to the Director, Self-Government. Further, the role provides the Regional Managers, Leads and Director, Self-Government direct administrative supports.
Additional responsibilities include providing administrative and basic technical support to Regional Councils and other MNO support staff, taking minutes during meetings and aiding in scheduling. The Administrative Support Person is also accountable for drafting, reviewing and editing confidential correspondence developed by Regional Councils and MNO partners. High degree of technology literacy and proficiency in standard office equipment. Other duties, relevant to the position, shall be assigned as required.
What you will be doing
3. Ensure Self-Government Branch website and affiliate pages are up-to-date.
**4. Zoom Webinar Set-up**: proficient in following processes from set up through execution of webinars and larger zoom meetings. Attention to detail and technical proficiency will be required.
**5. AirTable (database) lead for the Self-Government branch**: providing technical supports, base development and updates, develop and provide training to MNO and Regional Council staff.
**6. SharePoint**: Ability to use the platform, learn the core-functions and support with transitioning Self-Government documents and processes to platform.
**7. Thought Exchange**: Support Subject Specialist needs within the Self-Government branch using Thought Exchange engagement tools.
8. Prepare materials for Self-Government Branch website and brochures.
9. Collect information from Regional Managers for Self-Government Branch reporting.
10. Provide administrative, clerical and research support and assistance as required.
11. Review and assist with processing expense claims, purchase orders, airline and other travel arrangements (i.e., car rentals, hotels, etc.)
12. In coordination with Head Office, arrange all travel, car rental and accommodations for staff as required.
13. Maintain standard office supplies, promotional material or Annual General Assembly special material and place orders for supplies as necessary.
14. Photocopy, log, file and match completed purchase orders with invoices.
15. Provide administrative support for Self-Government virtual and in-person meetings and regional engagement sessions.
16. Assist with processing Self-Government notifications for MNO Regions 1-8, as needed.
17. Other duties as assigned from time to time by the Director of Self-Government.
18. Deal with confidential and sensitive issues in a timely manner, with tact and discretion
19. Travel to communities for meetings to attend meetings and provide technical support(this may require overnight stays in the community and a varied work schedule)
20. Other reasonable duties as may be assigned.
