**About us**

**Role Summary**

The Operations Specialist role combines skill sets in business operations and project management to develop, improve, and maintain Goldfin’s operational processes, support work product delivery, and ensure an efficient and productive workflow to help our business thrive. The Operations Specialist will also play a key role in driving continuous improvement by identifying and implementing process enhancements, leveraging digital tools and automation to streamline workflows. With a focus on collaboration and an attention to detail, the role supports cross-functional teams to optimize systems and ensure timely, accurate delivery of client programs and internal objectives.

**Responsibilities**
- Project Management_
- **_Activity Tracking and Reporting_**
- Maintaining client-facing reporting for program and activity information including building templates, analysing data and developing clear visuals to communicate data.
- Monitoring project progress and facilitating access to key project/program metrics.
- Maintaining a high standard of quality and executing QA/QC procedures.
- **_Administration_**
- Supporting program delivery through effective communications to clarify issues, request additional information from applicants, clients, contractors, and vendors.
- **_Budget Tracking and KPIs_**
- Maintaining project budgets and trackers, under the direction of the Project Manager.
- Operations and Process Development_
- **_Processes, Systems and Tools_**
- Maintaining tools/trackers to support Goldfin’s work across its portfolio of clients and internal business functions such as project dashboards, time tracking, tracking progress of strategic objectives, budgeting and forecasting tools.
- Optimizing Goldfin’s technologies and systems by identifying enhancement opportunities to the Operations team and supporting with implementation.
- Maintaining Standard Operating Procedures (SOP) for all activities for which the Operations Specialist is responsible.
- **_Continuous Improvement_**
- Identifying and supporting opportunities to improve operational efficiency, such as creating and updating templates, and automating repetitive processes.
- Maintaining and enhancing tools and trackers to ensure data accuracy, facilitate proactive planning, and support effective risk management.
- Finance and Accounting_
- **_Budgeting and Forecasting_**
- Supporting the budgeting and financial forecasting process, as needed, contributing to organizational and people-management goals.
- **_Invoicing_**
- Conduct invoicing activities, ensuring timeliness, accuracy, and compliance with contract terms.
- Maintaining accurate and clear tracking of invoice issuances and payments, conducting reconciliation where necessary.
- Upholding a high standard of quality, accuracy and attention to detail.
- **_Accounting_**
- Supporting business accounting processes such as employee expense processing, tracking accounts receivable, and updating cash flow projections.

**What you bring to the table**
- You have 1-2 years of practical experience in business administration, finance, and/or project management.
- You have a thorough understanding of analytics - gathering, analyzing and interpreting data to identify trends, patterns, areas for improvement and to measure success.
- You have a keen interest and ability to leverage digital tools and automation to improve accuracy and streamline processes.
- This role requires advanced proficiency in Microsoft Excel.
- Familiarity with Microsoft Power apps, VBA and/or other programming languages is an asset.
- You have an eye for the details and are a systems-thinker, considering the full picture when making decisions or recommendations.
- You excel at clear and effective communication, tailoring your approach to engage and collaborate with diverse stakeholders, including team members, clients, and leadership.
- You’re highly collaborative, eager to work across teams to support Goldfin’s growth
- You’re highly flexible and thrive in a dynamic, fast-paced environment
- You have a proven ability to manage multiple projects and priorities
- You’re keen to learn, create, brainstorm and collaborate

- We are based in downtown Toronto at CSI Annex (near Bathurst and Bloor).
- We follow a hybrid work model, with in-office collaboration expected at least once a week, currently on Mondays.
