**About the Department of Foreign Affairs and Trade (DFAT)**
The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high quality overseas aid program and helping Australian travelers and Australians overseas.

The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional and bilateral interests.

**About the Position**

Under direction of the Office Manager, the Human Resources and Protocol Officer is responsible for providing Human Resources and Protocol support services and assisting the Passport and Consular section.

The key responsibilities of the positions include but are not limited to:

- Administer human resource processes according to departmental guidelines and local law requirements, including recruitment processes, overseeing the onboarding and departure processes for Locally Engaged Staff and Australian-based officers, and administering the Group Benefit Health Plan for Locally engaged staff.
- Undertake financial tasks, including processing and paying invoices and reimbursements and staff salaries/entitlements, monthly/annual budget preparation, VAT (HST / Harmonized Sales Tax in Canada) returns, and responding to enquiries from staff and suppliers.
- Arrange accreditation, acceptances, privileges, spousal employment and diplomatic vehicle registrations for A-based officers accredited to Canada, including exchange officers
- Prepare Third Person Notes for Protocol, Global Affairs Canada and for third country visas
- Assist with issuing Papua New Guinea visas as required
- Assist with the provision of consular, and notarial services to Australian citizens in Canada as required, including performing certified copies, issuing authentications and apostilles and witnessing of signatures
- Prepare and distribute a CLO monthly newsletter and update post reports
- Develop and maintain relationships with internal and external stakeholders to achieve Corporate Services objectives.
- Assist with official functions, visits, events and other administrative tasks as required.

**Qualifications/Experience**
- Demonstrated experience in payroll, administration and/or client service roles
- Strong organisational skills, attention to detail and the ability to work under pressure and manage priorities with limited supervision.
- Strong interpersonal skills and the ability to build productive working relationships.
- Demonstrated ability to provide accurate and timely research, with a demonstrated ability to set priorities, show initiative, exercise sound judgement, meet tight deadlines and achieve results.
- Proficiency and experience with Microsoft Office programs, including Word and Excel.
- Experience with SAP finance, Ceridian and Dayforce systems is desirable.
- Strong written and spoken English
- ** Please note that this position may need to be able to obtain and maintain an Australian Baseline Security Clearance which has certain citizenship requirements **_
