**Position Overview**

The Lease & Licensing Coordinator provides administrative support on all aspects of the leasing and licensing functions within the organization.

In this role you will provide ongoing support and communication to various departments regarding the operations within the organization and establish proper follow up systems to collaborate with other team members in assisting with their roles and responsibilities.

**Essential Functions/Responsibilities**

Contracts and Leasing
- Responsible for the organizing, reviewing and maintenance of legal agreements in relation to MacEwen branded and Quickie branded outlets, including leases and other legal agreements. Ensuring all documents are scanned and properly placed in virtual storage.
- Handling the permit process for all new stores and maintaining the permits on an ongoing basis.
- Advises management of the expiry dates of leases, rent amount changes, store license issues and insurance requests on a periodic basis.
- Responds to customer enquiries and complaints working with the respective manager to ensure a follow-up process to document each situation.
- Calculation of common area charges for third party leases, billing and support on collection of accounts where required. Prepare tenant reconciliation statements.
- First contact for service calls on Grant Castle Corp. properties. Coordinating repairs and maintenance when necessary.

Other
- Providing administrative support for V.P. Retail, Director of Properties and territory managers.
- Maintaining and updating existing Excel reports for various departments. Creating new reports when necessary.
- Updating daily/monthly/annual reports as requested by landlords and various departments within the organization.
- Additional responsibilities as directed or assumed on personal initiative, reasonable and commensurate with the role.

**Requirements**:

- Undergraduate degree in a related discipline is advantageous (business, administration, communications etc.).
- Previous experience drafting or managing contracts would be an asset.
- Must have excellent verbal and written communication skills in both English and French
- Must be able to demonstrate high level of attention to detail.
- High degree of practical experience with Microsoft Word and Excel.
- Ability to exercise good judgment in recognizing scope of authority and protecting confidential information.
