The Office Administrator will be the first point of contact for anyone calling or visiting our Church. This position will undertake a variety of office support tasks and work diligently under pressure. As well, be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better efficiencies.

QUALIFICATIONS:

- Secondary School Diploma required.
- Business Administration degree or diploma preferred.
- 2-4 years of relevant experience in an office setting, preferably in an administrative or clerical role.
- Excellent organizational skills, ability to prioritize, and comfortable working independently.
- Exceptional oral and written communication skills, including strong spelling, grammar, and punctuation.
- Strong attention to detail.
- Proficient use of various office-based software including Microsoft Office Suite.
- Social Media/Web Content Management considered an asset.

PRIMARY RESPONSIBILITIES:

- Greet visitors in a professional manner.
- Provide visitors with information and direct them accordingly.
- Coordinate and schedule appointments and meetings.
- Process, sort, and route incoming and outgoing mail.
- Monitor and manage inventory of office supplies, water supplies, kitchen supplies; order and distribute supplies as necessary.
- Order any supplies necessary for various departments, as requested.
- Maintain the work centre (copier), order supplies as necessary.
- Filing and maintenance of current and archive records
- Weekly update of PowerPoint announcements and maintain weekly bulletin.
- Prepare Facebook for Sunday live stream.
- Keep social media channels updated with relevant announcements.
- Manage MailChimp database and send updates as needed.
- Maintain and organize bulletin boards.
- Maintain monthly calendar.
- Maintain list of security codes, key holders, and maintain alarm system.
- Distribute and balance petty cash when needed, purchase and distribution or grocery gifts card for needy families (as directed by the pastor)
- Order flowers for new births, hospital patients or funeral homes (upon pastor’s request)
- Purchase and prepare birthday/anniversary cards for pastor to fill out.
- Setting up monthly communion, order communion supplies
- Maintain voting members list.
- Maintain church record books - births, deaths, weddings, water baptisms, dedications.
- Ordering and distribution of offering envelopes, preparing of new files, storing of old.
- Aiding in the production, collating, and printing of the Annual Business Report.
- Any other duties that the pastor needs support or assistance with.

**Job Types**: Part-time, Permanent
Part-time hours: 20-30 per week

**Salary**: $16.83-$28.35 per hour
