JOB SUMMARY

UBC Media Relations promotes the university’s research, expertise and priorities to audiences across Canada and beyond. Through media relations, issues management and strategic communications, the team connects journalists with UBC experts, shares impactful stories and manages the university’s public reputation.

The Communications Assistant provides administrative, logístical and limited editorial support to the team through media monitoring and reporting, coordinating team projects and events and maintaining team resources. This role acts as a first point-of-contact for media inquiries and prepares digital content like daily news media summaries and quarterly metrics reports.

ORGANIZATIONAL STATUS

Reports to the Media Relations Specialist.

WORK PERFORMED
- Tracks UBC media mentions and writes and publishes daily media summaries.
- Updates weekly team editorial calendars using content management software.
- Supports issues management by updating weekly calendar and identifying and flagging media issues to the team. Remains up-to-date on the appropriate handling of queries pertaining to those issues.
- Maintains and updates the UBC Experts Guide database, team digital files, archives and mailing lists.
- Maintains and updates documents that track team metrics and develops quarterly metrics reports.
- Maintains the UBC Media Relations image database and fulfills image requests using UBC News' various sources.
- Supports the design and formatting of presentations, media materials and awards submissions for team members.
- Maintains office supplies, arranging for purchase and delivery of required materials and services.
- Assists in organizing media events and other team initiatives such as the Triple C professional development series. Assembles media kits, media training materials and other collateral for events.
- Other duties as may be assigned by Director and/or Media Relations Specialist.
- Other duties as required by the Communications portfolio.

Negative perceptions of the department and the university will result if incorrect information is given, or if calls are not appropriately and courteously handled.

Works independently under the general supervision of the Media Relations Specialist, Media Relations.

MINIMUM QUALIFICATIONS
- High School graduation, plus two years of post-secondary education, and 3 years of related experience or the equivalent combination of education and experience
- Willingness to respect diverse perspectives, including perspectives in conflict with one’s own
- Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusion

PREFERRED QUALIFICATIONS
- Effective interpersonal skills with the ability to deal with a diversity of people in a calm, courteous, and effective manner.
- Ability to compose correspondence, reports, presentations and other written materials using clear concise business English.
- Ability to prioritize tasks, maintain accuracy and attention to detail.
- Ability to exercise judgement, tact, confidentiality and discretion when dealing with sensitive matters.
- Ability to work independently and as a member of a team.
- Knowledge of UBC campus, faculties and services preferred.
- Interest in current affairs and news an asset.
