**Administration Supervisor**

Reporting directly to the Office Supervisor, the incumbent will be responsible for aggregates Accounts Payable and Work Orders. The incumbent will also manage the Operations Assistant for Aggregates in the Niagara Region in order to support and assist the site Superintendents.

**Responsibilities**:

- Codes and tracks invoices and purchase orders to ensure timely and accurate billing information in order to assist in mitigating supplier issues.
- Scans, receives and matched AP invoices in our Oracle accounting system to ensure payments are made in a timely manner.
- Analyzes selected operational costs as required and investigates and reports on significant variances.
- Assists Operations personnel with contacting customers, contractors and suppliers, capital projects, and training on Oracle as required.
- Plans and coordinates special projects and events such as social functions, Public Liaison Committee meetings, tours and conferences to ensure events are organized, efficient and effective.
- Performs additional administrative duties such as filing, scanning, tracking expenses, and preparing documents and reports, etc. to assist in the smooth running of the department.
- Maintains WSIB files for sub-contractors to allow for easy retrieval and indicate renewal dates to be acted on.
- Ensures weekly meter readings of equipment from operator inspection reports are completed weekly by the Operations Assistant.
- Ensures the maintenance of fuel dips and the tracking of usage are completed and reported for month end.
- Ensures that new preventative maintenance schedules are being performed on a timely basis.
- Other duties as assigned.

Ideally, you have these qualifications:

- At least 3 years’ experience in a similar role with supervisory experience.
- High school diploma plus an additional three-year college diploma
- Valid G license.
- Demonstrated levels of customer service, interpersonal and communication skills to promote and foster relationships with existing and potential customers and industry associates.
- Numeric skills to analyze, evaluate and formulate accurate invoice costs.
- Ability to pay close attention to detail, makes sure work is done correctly and thoroughly. Keeps accurate records.
- Business acumen - demonstrated understanding of quality standards relative to administration.
- Able to work with limited supervision and to take discretionary action as required.
