We are currently seeking an Operations Coordinator, Samples who will seek inspiration from our roots, can commit to achieving results the right way and loves to think big to join us on our journey.

The Operations Coordinator, Samples, is responsible for owning the full lifecycle of all samples across the Marketing department teams (Creative Production, Public Relations, Visual Merchandising and Social). The samples process requires a high degree of organization to manage the samples from intake to end of life cycle. In managing the samples process, the Operations Coordinator, Samples will manage the identification of samples needs, the ordering tracking process and manage the tracking of samples through the creative development and gifting processes. You are super organized with a high attention to detail, able to manage communication both with internal stakeholders and external vendors, and advocate for fiscal responsibility and accountability.

The Operations Coordinator, Samples for Roots will be responsible for the following:

- Establish and manage the samples process from intake to end of life.
- Place sample orders with both Leather Factory and offshore partners as part of the TOP sample order process.
- Work with suppliers to communicate timely arrival of samples, including tracking arrival, PO’s and any necessary follow-up required to manage any order errors.
- Manage PO’s and validate accuracy of orders once received.
- Receive, unpack, hang, steam and prep samples and work with stakeholder teams to identify sample product needs
- Tracking samples to ensure accuracy and returning from photoshoots or loans.
- Manage the invoice and budget tracking of samples and prepare a weekly report
- Own the sample re-entry program, ensuring products are appropriately allocated and accounted for in their end of life cycle process.
- 1-2 years professional experience in an office environment and/or retail apparel environment.
- Proficient with MS office and particularly with Excel.
- Experience with PLM (product lifecycle management) system considered and asset.
- High degree of organization with a high level of attention to detail.
- Ability to multi-task and manage the needs of multiple stakeholders.
- Ability to problem solve independently and takes initiative to identify opportunities.
- Strong communication skills, both written and verbal.
- Proven ability to set priorities and meet deadlines.
- Self-motivated with a drive to get things done.
- Able to come in person, in office 5 days a week.
