**Job Summary**

The Customer Care Administrator will work closely with the Warranty Care Manager and assist in all daily administrative duties. These duties will include maintaining all documentation in their allocated destination (i.e. uploading and updating Newstar, Builderlink and all Tarion Warranty items) and building a rapport with homeowners, Customer Care Coordinators and other site staff as required. Customer Service, time management and strong organizational skills are an asset for this role.

**Key Accountabilities**

**Customer Service**:

- Answer all incoming customer service calls from various areas.
- Ensure follow up with Customer Care Coordinator assigned to each specific housing project.
- Follow up on responses from trades with the coordinators per project & the Customer Care Manager.

**Management of Lot Files and Tarion Administrative Management**:

- Create the Certification of Completion and Possession Warranty Certification for the PDI’s in Builderlink.
- Edit all completion and possession warranty certification in Builderlink (assignment, extension to closing).
- Save and manage all homeowner files in various in systems.
- Manage all Tarion Warranty forms.

**Prepare any reimbursement or refund forms for warranty related issues**:

- Prepare reimbursement requisition form.
- Get appropriate approval for processing.
- Send release letter with the cheque & mail out to homeowner.
- Create any Vendor/Builder Agreement forms required.
- Coordination with Care Coordinator Team.
- Follow up with Coordinator to get the state of the lot files.
- Ensure the Customer Care Coordinator books appointment with homeowner to go over entire warranty form, only include any incomplete or any work needing to be redone on VBA.
- Coordinate team meetings.

**Additional Administrative Duties**:

- Order site material (marketing material etc.).
- Manage Customer Care Manager’s calendar.
- Send monthly trade report letter.
