Catholic Family Services of Durham (CFSD) is a non-profit, charitable organization with a strong reputation in the community for providing high quality, evidence-based psychotherapy, counselling and support services.

The mission of CFSD is to provide help, hope and healing to individuals, young parents, couples and families, regardless of beliefs. We do this through through evidence-based psychotherapy and counselling, education and support.

Since 1981, CFSD has been helping people in the Durham region, from all religious, cultural and ethnic backgrounds, to deal with a variety of issues including trauma, gender-based violence, couple and family conflict and mild to moderate mental health issues like anxiety and depression. CFSD is also a bilingual organization, and endeavours to employ bilingual staff.

**Opportunity**

Catholic Family Services of Durham is currently seeking a Front Desk Receptionist for a full-time permanent position. This individual will be responsible for a variety of administrative and reception duties in support of all divisions of CFSD, in addition to the incumbent performing receptionist duties for 707 Simcoe Street South.

The position is a 5 day per week position (35 hours), and offers pension contributions, paid sick and vacation time, and other wellness opportunities. Our staff are cohesive and we maintain a positive and proactive work environment.
- **The primary duties required for this position include, but are not limited to**:_

**Reception Duties**:

- Maintain a professional, helpful and friendly attitude.
- Maintain tidiness of reception and waiting room, including watering plants and stocking of community resources.
- Welcome on-site visitors, determine nature of business, and announce visitors to appropriate personnel.
- Receive packages, deliveries and donations for agencies and notify appropriate personnel for pick up.
- Answer incoming calls; determine purpose of calls and forward calls to appropriate personnel.
- Provide callers and visitors with general agency information.
- Connect callers and in person guests requiring specific program or intake information, to Client Care Navigator.
- Provide general information to clients as per the Young Parent Community Coalition outreach program, and forward any specific inquiries to Client Care Navigator.
- Share information with employees regarding new and revised community programs and initiatives.
- Check voice mail and direct to appropriate staff member.
- Provide information and intake forms to new clients when they present in person.
- Provide tablet to in person clients as required for agency evaluations, and assist as needed.
- Assist clients with special circumstances i.e., of needed private space, video
- Process cash payments, submit to finance and send receipts to clients.
- Take outgoing mail to mailbox for mailing and arrange courier pick-up at the Oshawa and Ajax offices.
- Advise Facilities Manager on building issues as noted by clients.

**Administrative Duties**:

- Assist in the coordination of room bookings calendar, resolving conflicts, program bookings and ad hoc staff requests.
- Data entry as requested.
- Perform general administrative tasks for therapists and counsellors, such as file labels, photocopying, compiling of intake packages, etc.
- Provide back-up in the absence of other administrative personnel.
- Check agency exterior drop box and mailbox regularly and sorts and distribute correspondence as appropriate, including notifying appropriate staff of time sensitive mail such as those from CAS or from lawyer’s office. Scans and uploads documents as needed.
- As requested, assist with the booking of taxis/Uber for clients.
- Maintain pickup document folder.
- Perform other duties as assigned.

**SKILLS**
- Well organized
- Excellent people skills
- Proficiency with Microsoft Word, Microsoft Excel, and Outlook
- French an asset (able to speak, read and write)

**QUALIFICATIONS**

High School diploma or equivalent work experience required.
