**Admin/Bookkeeper**
**Job description**
**Duties and Responsibilities**:
- Ensure all financial transactions are accurately recorded in our QuickBooks Online Software.
- Manage and maintain accounts payable.
- Prepare sale invoices and receipts.
- Prepare bank deposits and then post bank deposit transactions.
- Review and process rent reimbursements.
- Manage and maintain Trust Accounts.
- Manage and reconcile company credit card statements.
- Receive payments via cash, debit, interact.
- Participate in payroll processes.
- Ensure completeness of supporting documents for all transactions.
- Provide support role in audits including preparation of documents.
- Order office supplies and maintain inventory.
- Ensure the compliance of administration, finance and policies and procedures.
- Handle administrative tasks, including answering phones, scheduling appointments.
- Collaborate with other team members to ensure smooth operations and provide support as needed.
- Responsible for petty cash disbursements, replenishment, and petty cash count.
- Develop and maintain administrative processes.
- Keep an organized file system.
- Exceptional attention to detail.
- Keep a tidy and appropriate reception area.
- Always keeps the highest standards of confidentiality.
- Able to work well under pressure and meet all deadlines.
- Good organizational and time management skills.
- Effective written and verbal communication skills.
**Minimum Job Requirements**:
- At least 2 years of experience in bookkeeping or a similar role
- Strong proficiency in QuickBooks online
- Excellent communication and interpersonal skills
- Strong organizational skills and attention to detail
- Ability to multitask and work in a fast-paced environment.
- Proficiency in Microsoft Office, including Excel and Word
