Reporting in a matrix facilities team structure, provide assistance to all site related support activities for the Niagara Falls, Welland, Fort Erie and Port Colborne Sites.

**RESPONSIBILITIES**:

- Working in a matrix setting and working with the facility site manager and Manager of Engineering services, manage daily activities related to site operations including administrative and project support to all team members as assigned
- Assist facilities team in planning, coordinating and implement projects of varying complexity
- Assist is facilities team in activities related to project scope development and organizing stakeholders for task delivery
- Application of scheduling, task coordination and organizational skills to facilitate the completion of tasks and to meet deadlines
- Establish and maintain data management e.g. manual filing, sharepoint site or others to ensure organized electronic and paper records for the department
- Assist with preparation and dissemination of project communications, power point presentations, and monthly reports
- Initiate the creation and production of accurate, organized documents within specified time frames
- Organize meetings, conferences, special events, and travel
- Assistance with special event management, preparation of reports and presentations
- Help organize stakeholder meetings as directed
- Distribute site and organization communications
- Other tasks as assigned by manager

**QUALIFICATIONS**:

- Post-secondary education in a related field
- Project Management or Facility Management experience required
- 3-5 years' relevant experience required; hospital setting experience is preferential
- Valid driver's license and access to a vehicle for inter-site travel required
Excellent written, verbal, interpersonal communication and organizational skills
- Demonstrated ability to manager complex and concurrent administrative and project responsibilities, meet deadlines and manage change
- Ability to work in a fast paced environment, prioritize activities, and exercise attention to detail
- Ability to work independently and as a team player
- Excellent work performance and attendance record is essential
- Consistent and regular attendance required
- Proficiency in both official languages (English & French) will be considered an asset.
