**Job Summary**:
Salary Pending Review

Reporting to the Senior Project Manager, the Project Coordinator is responsible for assisting in various day-to-day activities associated with managing capital projects. This role coordinates with various individuals (internal and/or external), as directed by the Senior Project Manager, to facilitate planning, execution, monitoring and reporting. In addition, the role is responsible for financial, project and administrative support, and for project specific communication & collaboration within cross functional teams. The role is required to independently manage some Tier 3 projects as required and under the direction of the Senior Project Manager.

**Education**:

- Post-secondary diploma in Civil, Mechanical, Electrical or Environmental Engineering or a related discipline.
- An equivalent combination of education, experience and qualifications may be considered.
- Post-secondary degree in Civil, Mechanical, Electrical, Environmental Engineering or a related discipline.
- Additional training in ISO55000 methods/approaches, Reliability Engineering and Accounting/Finance

**Knowledge**:

- 2 to 5 years of project coordination experience, preferably in municipal infrastructure.
- Registered with the Ontario Association of Certified Engineering Technicians and Technologists.
- Knowledge of project management tools/software.
- Knowledge file management, transcription, and other administrative procedures.
- Certified with the Ontario Association of Certified Engineering Technicians and Technologists.
- Project Management Professional (PMP) designation is preferred.
- Designation as a Professional Engineer with the PEO is preferred.

**Responsibilities**:
**_ Project Coordination (30% of time)_**:

- Ensures projects adhere to framework and all documentation is maintained appropriately.
- Coordination of project schedule, scheduling workshops, inviting correct attendees, coordinating facilities, managing resources needed to execute project deliverables.
- Prepares agendas and coordinate team meetings supporting project management team.
- Reviews and circulates meeting minutes and follow up on action items.
- Prepares and edits project documentation.
- Ensures all documentation is complete, properly formatted (according to project requirements), versioned and stored in the appropriate locations.
- Assists with preparing RFP and RFQ documents.
- Identifies bottlenecks, risks and opportunities and look for strategic insights. Be the escalation point for project specific issues.
- Reviews and helps inform on project changes.
- Maintains project documentation on changes to project (i.e., scope, budget, schedule, risks, and stakeholder issues).
- Identifies for opportunities for continuous improvement in project processes, reporting and resourcing.
- Assists the Senior Project Manager with warranty and deficiency management.

**_Project Monitoring and Reporting (30% of time)_**:

- Attends regular site visits to monitor project progress.
- Maintains and monitors project schedules, milestone deliverables, work hours, budgets and expenditures.
