**Office Administration Associate**

**Duties and Responsibilities**
- Sort, open and distribute incoming mail by department and date stamp all general correspondence
- Conduct clerical duties, including filing and creating folders
- Arrange for courier pick-up - receive and log incoming courier packages for Associates
- Log/sign out Status Certificates that are being picked up by Clients
- Assists in planning and arranging events, including organizing catering
- Maintains stock lists and orders office supplies as needed
- Coordinate cheque pick-ups for vendors and contractors
- Manage office inventory and supplies
- Manage office security cards and access control
- Assist with greeting and assisting all visitors accordingly
- Serves as the go-to for office inquiries and general office duties as assigned
- Practice and adhere to FirstService Residential Global Service Standards
- Conduct business at all times with the highest standards of personal, professional and ethical conduct
- Perform or assist with any operations as required to maintain workflow and to meet schedules
- May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines
- Follow all policies and Standard Operating Procedures as instructed by Management
- Perform any range of special projects, tasks and other related duties as assigned

**Education and Experience**
- Ontario Secondary School Diploma (or equivalent)
- 3+ years of reception, office administration or customer service experience required
- Strong administration, communication and interpersonal skills required

**Knowledge, Skills and Proficiencies**
- Knowledge of multi-line switchboard and ability to handle numerous calls at once
- Works well independently and as a team player, with a passion for customer satisfaction
- Excellent written and verbal comprehension and communication skills
- Experience with Microsoft Office (Word, Outlook and Excel)
- Self-starter with the ability to prioritize and multi-task to meet deadlines
- Highly organized and detail oriented
