We are currently seeking an Administrative Assistant for our Markham office.
- Responsibilities:

- Coordinates contact lists and groups. Creation and continued development of shared address books, business cards and contact list within various programs (Outlook, CRM, etc.)
- Assist in the development and coordination of project marketing sheets and other support material (resumes, reference projects, etc.)
- Develop meeting minutes for Business Development, Operations, Technical, and Project Meetings to identify follow up issues and assignment of tasks
- Assist with quality control of MH documents: proofreading, formatting, reproduction, collation and binding of presentations, documents and reports
- Filing and maintenance of reports, proposal templates, and other documents
- Assist in updating of standard documents including reports and proposal text
- Formatting of standard documents for ease of use and look (including proposal, reports and specifications)
- Maintenance of administrative and project filing
- Assist personnel in mail outs to clients (upcoming events, invites to luncheons) in coordination with marketing personnel
- Follow up with staff workload documentation
- Support marketing personnel with other tasks on an as-needed basis
- Perform and deliver under tight schedules and changing priorities
- Coordinate with other internal team members to complete administrative tasks
- Required Qualifications:

- Post-secondary education in business administration, communications, or similar field
- Outstanding English language skills (including writing, proofreading, and editing)
- Strong attention to detail including ability to proofread and edit material
- Expert level MS Word capabilities
- Proficiency in Excel, PowerPoint, and Access
- Ability to work independently, take initiative, and multi-task to meet deadlines in an engineering environment
- Excellent interpersonal skills and confidence in interacting with all levels of management and internal and external clients
- Superior organizational and time-management skills and the ability to work with mínimal supervision
- Ability to gather information from a variety of sources and assemble together into a professional document
- Additional Or Preferred Qualifications:

- Experience in the construction or consulting engineer industry
- Expert knowledge of MS Word formatting using Styles and Multi-level Lists
- Experience with MS Teams and MS Planner/Tasks
