Spa Administrative Assistant

_**We currently seek a highly motivated and experienced Spa Administrative Assistant to join our dynamic team.**_
The Spa Administrative Assistant maintains service levels which exceed guests' expectations in accordance with five diamond service levels. Responsible for meeting and greeting all visitors to the spa, using personal welcomes and personal goodbyes and offering assistance while anticipating guest needs. Promptly promotes the hotel through knowledge of hotel property, facilities and outlets, hotel staff, and hotel services and Spa, including hours of operation. Acts as a concierge by providing guests with information and directions around the Spa or Hotel for increased guest satisfaction. Ensures attention is placed on Spa activity and maintains a sense of control and coordination. Maintains knowledge about functions on site and passes along relevant information as needed. Resolves minor guest complaints to the satisfaction of the customer and informs manager of major problems, complaints, disturbances or unhappy guests.
**Duties and Responsibilities**
Responsibilities and essential job functions include but are not limited to the following:
- Book reservations accurately while promoting Spa facilities and ensuring all policies and facilities are explained.
- Maintain the switchboard by answering incoming calls quickly, in sequence, and in a pleasing manner.
- Greet guests to the Spa in a prompt and courteous manner present by handing out health cards, informing guests of Spa features and layout.
- Check guests in and out of the Spa, processes credit card authorizations and payments according to established policies and procedures.
- Handle Spa bookings, accommodating special requests whenever possible.
- Accommodate special individual request for services or information with an emphasis on guest hospitality.
- Prepare for group check in and out, and VIP arrivals by becoming informed of events and functions in the hotel during the shift.
- Being up to date on security policies and emergency procedures.
- Prioritizing of tasks
- Maintain guest accounts, master accounts, cashiering and gift certificates.
- Assist Spa Attendant when needed.
- Alerting Maintenance or Housekeeping when necessary.
- Keeping Staff detailed on duties, shift times and client information.
- Aware of all activities going on in the Spa.
- Any other duties as may be assigned.
**Minimum Knowledge and Skills Required**
- Excellent customer relations and communication skills.
- Ability to effectively prioritize in constantly changing environment.
- Comfortable with computer software programs; knowledge of Book4Time, Silverware and Opera, an asset.
**Work Conditions and Physical Requirements**
- Fast paced environment - must be able to work under pressure with tight deadlines, repetitive tasks, and attention to detail
- Flexible with scheduling, available to work weekends
- This position is physically demanding and involves a combination of sitting, standing, walking, carrying laundry, standing for extended periods of time, bending, crouching and kneeling.
